The client is a top immigration & federal practice firm based in the US, providing legal services for visas, green cards, citizenship applications, and divorce proceedings. They are dedicated to helping families and businesses navigate U.S. immigration law complexities.

This is an opportunity to join a well-established firm with over two decades of experience in U.S. immigration law. The organization is recognized for its strong track record in successfully guiding clients through complex legal processes.

Our client is seeking an experienced U.S. Immigration Case Manager—not an immigration processor, appointment setter, or document collector. This role involves owning the administrative movement of a high-volume portfolio of immigration matters, ensuring each case is tracked, next actions are identified, and escalations are handled appropriately.

The Case Manager will not provide legal advice or determine legal strategy but must have a deep understanding of U.S. immigration processes to recognize and address issues.

Primary Responsibilities

Portfolio & Workflow Ownership:

  • Own a high-volume portfolio from onboarding through completion, tracking current status, last action, next action, owner, and critical deadlines.
  • Identify stalled, aging, incorrectly staged, or inactive cases before management notices them.
  • Follow up with clients, paralegals, and attorneys to close outstanding loops.

Case Auditing & Risk:

  • Audit case notes, tasks, communications, filings, and government notices—not just assigned tasks.
  • Identify missing notices, overdue tasks, absent next actions, deadline risks, and status inconsistencies.
  • Prioritize EOIR hearings, RFEs/NOIDs, interviews, government deadlines, and unusually long-pending matters.

Docketwise / Client / Reporting:

  • Keep Docketwise stages, notes, tasks, deadlines, and communications accurate and current; use reports/filters to find exceptions.
  • Serve as the primary operational client contact and consistently pursue missing documents/information.
  • Report exceptions concisely: problem, investigation, action taken, next owner, and decision needed.

Requirements

  • Minimum 3 years of direct experience with a U.S. immigration law firm.
  • Personally managed a portfolio/caseload—not only forms or document processing.
  • Strong family-based experience: I-130, I-485/AOS, consular processing, I-751, and N-400.
  • Working knowledge of USCIS stages, receipts, biometrics, interviews, RFEs/NOIDs, and deadlines.
  • Ability to audit a large caseload and identify stalled, urgent, aging, or incorrectly documented matters.
  • Strong independent judgment, follow-through, organization, detail orientation, and client communication.
  • Able to work U.S. Eastern Time with reliable internet and a professional remote environment.

Strongly Preferred: Advanced Docketwise; VAWA, asylum, EOIR/removal, waivers, or humanitarian/complex immigration exposure.

Do Not Apply:

  • Appointment setters/general VAs;
  • Document processors without portfolio ownership;
  • Employment-based-only.

Role Boundaries:

The Immigration Case Manager supports the legal team by managing client relationships and case workflows. The Case Manager may communicate procedural information, collect documents, maintain case records, coordinate deadlines, and ensure files are administratively ready for legal work.

  • Will not provide legal advice or interpret immigration law for clients.
  • Will not determine eligibility, legal strategy, or case theory.
  • Will not prepare substantive immigration petitions, applications, legal briefs, or RFE responses.
  • Will not represent clients before USCIS, EOIR, DOS, or any other government agency.
  • Will not independently submit substantive legal work without required attorney authorization.

Hours: Monday to Friday, 9am to 5pm EST (45-minute break) (Night Shift). Work From Home.
