We are seeking an experienced recruitment professional to manage and coordinate hiring activities across multiple business functions. The successful candidate will play a vital role in maintaining efficient recruitment processes, ensuring compliance, and fostering strong relationships with stakeholders at all levels.
The Role
- Collaborate with hiring managers to define vacancy requirements, candidate profiles, recruitment priorities, and expected timelines.
- Draft and publish job advertisements across approved recruitment platforms and sourcing channels.
- Review applications and shortlist candidates based on agreed position requirements.
- Conduct initial telephone screenings to evaluate experience, availability, and role suitability.
- Coordinate interviews, assessments, reference checks, and candidate communications.
- Prepare recruitment documentation and assist with employment offers and contracts.
- Communicate outcomes professionally and provide candidates with timely updates.
- Proactively source candidates through LinkedIn, employment platforms, internal databases, referrals, and other relevant channels.
- Develop candidate pipelines for recurring, specialist, high-volume, and difficult-to-fill positions.
- Support recruitment across operational, technical, trade, site-based, and corporate roles.
- Assist with recruitment campaigns, entry-level programs, industry partnerships, and candidate outreach initiatives.
- Maintain accurate and current candidate information within the applicant tracking system.
- Coordinate pre-employment requirements, including police checks, right-to-work verification, licences, qualifications, and security clearances.
- Ensure all candidate documentation and approvals are completed before commencement.
- Liaise with HR, payroll, and operational teams to facilitate a smooth transition from recruitment to onboarding.
- Maintain confidential recruitment records in compliance with privacy requirements and company policies.
- Adhere to Australian employment legislation and inclusive hiring practices.
- Build strong working relationships with hiring managers, HR Business Partners, and operational leaders.
- Provide regular updates on vacancy status, candidate availability, and outstanding recruitment actions.
- Follow up with stakeholders to keep recruitment processes moving and minimize delays.
- Escalate recruitment risks, compliance gaps, and difficult-to-fill vacancies as needed.
- Monitor recruitment metrics such as time to hire, vacancy status, source effectiveness, and candidate conversion.
- Support recruitment reporting, employer branding initiatives, and continuous process improvement.
- Perform other role-specific duties as required.
Requirements
- A bachelor’s degree in Human Resources, Business, Psychology, or a related discipline.
- Understanding of Australian employment legislation relating to recruitment and selection.
- Previous experience in talent acquisition, recruitment coordination, recruitment administration, or a similar role.
- Experience supporting multiple vacancies and recruitment activities simultaneously.
- Practical experience advertising roles, screening applications, and coordinating interviews.
- Experience completing reference checks and coordinating pre-employment requirements.
- Strong organizational skills and the ability to manage competing priorities and deadlines.
- Strong written and verbal communication skills.
- High attention to detail and accurate record-keeping skills.
- Confidence communicating with candidates, hiring managers, and senior stakeholders.
- Ability to assess candidates against defined position requirements and selection criteria.
- A professional and service-focused approach to candidate and stakeholder engagement.
- Experience using applicant tracking systems, HR systems, and Microsoft Office applications.
- Ability to handle confidential candidate and employee information appropriately.
- A proactive approach to following up with stakeholders and progressing outstanding recruitment activities.
- Recruitment experience within facilities management, building services, construction, engineering, property services, or another operationally complex environment.
- Experience recruiting technical, trade, frontline, mobile, site-based, or high-volume workforces.
- Experience using LinkedIn Recruiter and other proactive candidate-sourcing platforms.
- Familiarity with recruitment reporting, behavioral interviewing, and structured candidate-assessment methods.
- Experience coordinating police checks, working-rights verification, licences, qualifications, or security clearances.
- Exposure to employer branding, recruitment marketing, or diversity and inclusion initiatives.
