The Role
The Technical Project Administrator will provide technical and project administration support to the Handover team, assisting with construction project documentation, supplier and subcontractor onboarding, Jira task tracking, CRM updates, reporting, meeting coordination, and client communication records. This role is suited to a highly organised administrator with construction industry experience and an architecture, engineering, or related technical background.
Key Responsibilities
- Support the Handover team with project administration, coordination, and delivery activities.
- Maintain accurate project records, documentation, and audit trails using Jira, CRM systems, reports, and dashboards.
- Assist Senior Technical Handover Success Managers with day-to-day project administration, coordination, and follow-up tasks.
- Assist with supplier and subcontractor onboarding, including documentation collection, follow-ups, and system support.
- Proactively liaise with suppliers, subcontractors, and internal stakeholders to support project progress.
- Escalate and follow up on project, documentation, or onboarding issues as required.
- Coordinate project meetings, prepare agendas, record minutes, and distribute action items.
- Support quality assurance processes and ensure documentation meets project standards.
- Contribute to process improvements and preventative measures to enhance project delivery outcomes.
- Complete assigned CRM and administrative tasks while supporting team KPIs and delivery goals.
- Collaborate with project teams to ensure efficient and successful project delivery.
- Perform other duties as required.
Requirements
- Degree in Architecture, Engineering, Construction Management, or a related technical discipline is essential.
- Previous experience in project administration, construction administration, technical administration, handover documentation, office administration, or a similar support role.
- Experience within the construction, engineering, architecture, building, or technical project environment is highly regarded.
- Strong organisational skills, with the ability to manage multiple tasks, prioritise effectively, and maintain detailed project records.
- Strong attention to detail across documentation, data entry, client communications, meeting minutes, and project records.
- Proficiency in Jira, CRM systems, Microsoft Office Suite, and other project management or task-tracking tools.
- Ability to communicate effectively with internal project teams, suppliers, subcontractors, and external stakeholders.
- Strong written English skills, with the ability to document updates, meeting notes, issues, and project information clearly.
- Proactive problem-solving approach, with the ability to identify issues, escalate concerns, and follow up on resolutions.
- Ability to follow quality standards, project procedures, documentation requirements, and agreed workflows.
- Comfortable working in a dynamic project environment with deadlines, KPIs, and competing priorities.
- Collaborative, reliable, and able to provide administrative support that contributes to smooth project delivery.
- Must be willing to work on mid-shift 5:00 PM - 2:00 AM PHT
