About the Role

We are seeking a highly organized, adaptable, and Mandarin-English bilingual professional to support our attorneys, clients, and internal teams in a fast-paced law firm environment.

This is a cross-functional role designed for someone who is eager to learn, comfortable communicating with clients, and capable of supporting both legal and client-facing operations. Depending on the candidate’s strengths, experience, performance, and the firm’s evolving needs, the role may develop toward greater responsibility in legal case support, client services, intake coordination, or a combination of these areas.

The ideal candidate will have prior experience working in professional services and strong administrative and communication skills.

Key Responsibilities

  • Provide administrative and coordination support to attorneys and internal teams, including document organization, scheduling, follow-up, correspondence, and workflow management.
  • Assist with the preparation, formatting, organization, and filing of legal documents, applications, supporting evidence, and other case-related materials under attorney supervision.
  • Communicate professionally with clients and prospective clients in both Mandarin and English through phone, email, messaging platforms, and other approved communication channels.
  • Maintain accurate and up-to-date client and case records in CRM and case management systems, including documenting interactions, tracking follow-ups, monitoring progress, and organizing digital files.
  • Support the client intake process as needed by screening inquiries, identifying client needs, scheduling consultations, gathering preliminary information, and guiding prospective clients through next steps.
  • Build and maintain positive working relationships with clients, attorneys, business partners, third parties, and internal team members.
  • Monitor deadlines, coordinate outstanding items, follow up on required information, and help ensure that client and case-related matters move forward efficiently.
  • Use legal technology, CRM platforms, productivity tools, and AI-assisted systems to improve organization, communication, accuracy, and workflow efficiency.

Qualifications

  • Bachelor’s degree required.
  • Prior experience working in a law firm is highly preferred; experience may be in legal support, administration, client services, intake, case coordination, or a related function.
  • Fluent in Mandarin and English, both written and spoken.
  • U.S. immigration law experience is preferred but not required.
  • Strong interest in learning U.S. immigration processes, legal workflows, and client service standards.
  • Excellent communication, organization, follow-up, and relationship-management skills.
  • Ability to adapt to different responsibilities and work effectively across legal, administrative, and client-facing functions.
  • Comfortable using CRM systems, case management platforms, productivity tools, and new technology.
  • Strong attention to detail, sound judgment, and the ability to handle confidential information professionally.

Working Hours:

The scheduling for this role is flexible; however, team members are required to maintain a minimum of 5 hours of overlap with the firm’s operating hours in Pacific Time (PT), subject to operational needs and team coordination.
