You are the trusted accountant. This role requires full ownership of bookkeeping for US-based small-business clients across construction, oil and gas, and wellness industries. You handle everything from QuickBooks Online setup and chart of accounts design to month-end reconciliations and financial statement delivery—ensuring accuracy and trustworthiness for long-term client retention.
Construction clients demand precision in job costing—coding subcontractor invoices to the right job and cost code directly impacts contractor profitability. If you have hands-on experience in construction bookkeeping, this role will leverage your expertise.
Key Responsibilities
Full-Cycle Bookkeeping
- Own the entire bookkeeping cycle: daily transaction entry, month-end close, and financial reporting
- Categorize and reconcile all transactions, ensuring correct coding to accounts, classes, and job/cost centers
- Perform monthly bank and credit card reconciliations
- Manage accounts payable/receivable, vendor invoices, and customer billing
- Accrue expenses and post adjusting journal entries
Construction Bookkeeping — Job Costing
- Track labor, materials, subcontractor costs, and equipment for construction clients
- Support work-in-progress (WIP) reporting and percentage-of-completion tracking
- Assist with progress billing and lien waiver documentation
- Track subcontractor payments and prepare 1099s at year-end
Financial Reporting
- Prepare and deliver monthly financial statements (P&L, balance sheet, cash flow)
- Provide clear, actionable financial summaries tailored to each client
- Proactively flag variances, anomalies, or cash flow concerns
- Support quarterly/year-end reporting and CPA coordination
Requirements
- CPA license or active pursuit of CPA licensure
- Advanced QuickBooks Online proficiency (setup, chart of accounts, class tracking, reconciliations, reporting)
- Experience managing full-cycle bookkeeping for multiple clients across industries
- Demonstrated construction bookkeeping and job costing experience
- Strong attention to detail and commitment to accurate financials
- Self-directed, organized, and proactive in workload management
- Excellent written communication for client-facing summaries
- Reliable remote setup with high-speed internet
Preferred Qualifications
- QuickBooks Online ProAdvisor certification (Advanced preferred)
- Hands-on experience with WIP schedules and percentage-of-completion tracking
- Bookkeeping experience in oil and gas, or service/retail (e.g., spas, salons)
- Experience with 1099-NEC filings and vendor W-9 collection
- Prior US-based client support or CPA firm experience
- Familiarity with progress billing and lien waiver workflows
- Comfort with US sales tax filing
Tools & Software
- QuickBooks Online (company setup, chart of accounts, class tracking, reconciliation, reporting)
- Microsoft Excel (reconciliations, schedules, client summaries)
- Microsoft Teams (communication) and OneDrive (document handling)
- Hubstaff (time tracking)
