· Understand that specifications may differ substantially between residential, hospitality, and commercial applications.
· Research alternate products when selections are unavailable, outside budget, or do not meet project requirements.
· Maintain accurate product information, including dimensions, finishes, pricing, lead times, vendor information, links, and relevant technical specifications.
Specification Books
· Create and maintain comprehensive project specification books.
· Ensure each selection contains all relevant information needed for purchasing, installation, construction coordination, and client approval.
· Maintain accurate and current product details as selections change.
· Organize specifications so information can be easily accessed by designers, architects, contractors, installers, purchasing teams, and other project partners.
· Maintain consistency and accuracy across drawings, specifications, schedules, and procurement documentation.
Procurement Tracking
· Maintain detailed procurement trackers from specification through final delivery and installation.
· Track quotes, approvals, purchase orders, deposits/payments, production status, estimated ship dates, shipping, receiving, damages, backorders, replacements, and installation status.

· Familiarity with the U.S. interior design, furnishings, fixtures, and materials markets.
· Experience working with U.S.-based vendors, manufacturers, and trade accounts.
Ideal Candidate
The right person is both creative and highly organized.
We are looking for someone who understands that excellent interior design depends not only on beautiful ideas, but also on accurate documentation and excellent execution.
You should be comfortable moving between a creative assignment such as producing a beautiful rendering and a highly detailed assignment such as verifying dimensions, updating a specification book, researching an alternate fixture, organizing vendor information, or tracking an order.
Because our client works across hospitality, commercial, and residential environments, we value someone who is curious and adaptable rather than limited to a single project type.
You are proactive, resourceful, detail-oriented, and comfortable asking thoughtful questions when necessary—but your natural instinct is to research, problem-solve, and move the work forward.
