What you will do

As the Sr. Contract & Vendor Management Specialist, you play a crucial role in overseeing procurement contract activities from both an administrative and strategic perspective. Your responsibilities involve serving as a System Admin and subject matter expert for the Contract Lifecycle Management (CLM) software. Acting as the primary point of contact for contract-related matters, you evaluate and renegotiate vendor agreements, ensuring compliance with key terms such as SLAs, InfoSec, and payment terms. Your role includes routing agreements, updating process documents, managing metadata, and troubleshooting inconsistencies. Additionally, you contribute to vendor relationship development and handle ad hoc requests, while also creating and managing reporting on contract actions and spend metrics.

  • Perform the role of a System Admin and a subject matter expert for the Contract Lifecycle Management (CLM) software
  • Support selection and implementation of CLM using industry best practices and company needs
  • Manage contract inventory and archiving, including upload existing contracts information into the implemented CLM
  • Manage data coming from different sources and methodologies into a single consistent format
  • Act as the first point of contact supporting Compliance and Legal for contract actions and general informational requests
  • Oversee and update process documents related to the contracting process, working in conjunction with the contracts team and ensure processes are adhered enterprise wide
  • Support evaluation and negotiation of vendor MSAs, SOWs to meet current market standards for key terms such as SLAs, InfoSec, and payment terms
  • Timely and accurately route agreements for review and/or signature according to approved company processes
  • Review and update metadata related to contract actions for completeness and accuracy
  • Collect and track required information and submit vendor add/change requests to set up suppliers for company use, which includes contacting vendors directly to get required information
  • Troubleshoot and solve for the causes of inconsistencies in contract related metadata
  • Report on contract performance, costs, SLAs, breaches, as required
  • Field ad hoc requests to provide executed agreements to stakeholders
  • Create and manage reporting related to contract actions and related spend metrics
  • Provide periodic executive reports on spend analysis, actual vs. contract terms vs. budget
  • Coordinate vendor relationship development and management

Qualifications

Education

  • Bachelor’s Degree and 4 years' experience or equivalent combination of training and relevant work experience

Experience

  • Contracting or paralegal experience, minimum of 2 years
  • Contract Lifecycle Management system experience, like Gatekeeper
  • Microsoft Office expertise
  • Contract SLA and Infosec negotiation and monitoring experience
  • Ability to engage, communicate, and influence effectively at all levels of the organization
  • Strong organizational and time management skills
  • Strong command over all contractual terms (legal and commercial)
  • Understanding of relational databases and ability to work effectively within them
  • Detail-oriented, self-motivated, responsive to team needs, and takes ownership in work product
  • Excellent problem-solving and critical thinking skills
  • Excellent written and verbal communication skills
