Why This Role is Exciting

We are looking for a highly organized and proactive Talent Acquisition Coordinator to join our team. In this role, you will play a critical role in creating a seamless hiring experience by coordinating interviews across multiple time zones, communicating with candidates and hiring teams, and providing administrative and operational support throughout the recruiting process.

You’ll work closely with candidates, recruiters, hiring managers, and interviewers, often navigating complex schedules and changing priorities while keeping the candidate experience at the center of everything you do. You’ll also have opportunities to contribute to broader Talent Acquisition initiatives and process improvements that help our team operate more effectively.

Must be located on the East Coast and willing to flex to support EMEA time zone

Key Responsibilities

  • Coordinate high-volume and complex interview schedules across multiple time zones, balancing candidate, hiring manager, and interviewer availability.
  • Serve as a key point of contact for candidates, providing timely, thoughtful communication and ensuring a seamless experience throughout the interview process.
  • Partner closely with recruiters, hiring managers, and interviewers to manage scheduling needs, changes, and last-minute adjustments.
  • Proactively troubleshoot scheduling conflicts and other coordination challenges, using sound judgment to find solutions and keep hiring processes moving.
  • Manage candidate and interview data in the ATS, ensuring records are accurate and up to date throughout the hiring process.
  • Provide administrative and operational support across the recruiting lifecycle, including onboarding preparation and other TA-related activities.
  • Identify opportunities to improve scheduling workflows, processes, and the overall candidate and stakeholder experience.
  • Contribute to broader Talent initiatives such as employer branding, talent communities, university recruiting, and other special projects as opportunities arise.

Attributes for a Successful Candidate

  • 1+ years of experience as a Recruiting Coordinator or in a similar coordination or administrative support role.
  • Experience coordinating complex schedules across multiple time zones and supporting globally distributed teams.
  • Demonstrated ability to thrive in a fast-paced environment, managing multiple priorities, tight deadlines, and last-minute changes with accuracy and a sense of urgency.
  • Strong organizational skills and exceptional attention to detail.
  • Excellent interpersonal and communication skills, with the ability to build strong relationships with candidates, hiring managers, recruiters, and interviewers.
  • Strong problem-solving skills and the ability to proactively navigate scheduling conflicts and changing priorities.
  • A commitment to delivering a seamless, high-quality experience for candidates and internal stakeholders.
  • High level of discretion and professionalism when handling sensitive and confidential information.
  • Proficiency with Google Workspace and/or Microsoft Office.
  • Hands-on experience working with applicant tracking systems (e.g., Ashby, Greenhouse, Lever).

Nice to Have

  • Experience supporting recruiting or talent teams in high-growth or SaaS environments.
  • Prior experience working with globally distributed teams.
