Position Overview

We are seeking a highly detailed, analytical, and process-oriented Purchasing and Inventory Specialist to join our remote global operations vertical based in the Philippines (with primary regional connection teams in Makati and Angeles City). In this high-leverage supply chain execution seat, you will be the single accountable owner managing inventory data integrity, validating vendor procurement sequences, and reconciling distribution tracking sheets. Shifting completely away from non-regulated customer service chat queues, basic web content entry logs, or manual sorting scripts, you will run an active high-volume ERP database, mathematical cycle count variance, and multi-vendor administrative document compliance laboratory. Partnering directly beside distributed operations managers, external suppliers, and regional project estimators, you will minimize stock leakage and enforce flawless logistics throughput. This position requires an administrative supply chain professional who handles inventory data fluidly natively using Data Entry, Virtual Assistant, and Spreadsheets (Excel/Google Sheets) primitives, demonstrates high accountability under rigid timelines, and operates efficiently on a permanent nightshift schedule.

Key Responsibilities

• Cycle Count Data Governance: Input, audit, and analyze high-volume stock telemetry collected during field warehouse cycle counts, identifying margin variances natively utilizing Data Entry models.
• Exception Audit Instrumentation: Isolate physical counting anomalies and statistical discrepancies to generate detailed exception sheets for immediate validation checks.
• Purchase Order Placement & Triage: Draft and execute forecasted procurement orders with international suppliers, meticulously reviewing vendor confirmations for pricing and structural accuracy.
• Open PO Pipeline Tracking: Supervise outstanding open purchase orders within enterprise management nodes, identifying logistics delays early to execute assertive fulfillment follow-ups.
• ERP Inventory Administration: Maintain daily inventory database records and product catalog integrity, tracking metrics fluidly natively leveraging Virtual Assistant operations and enterprise reporting layers.
• Vendor Compliance Documentation: Coordinate directly next to external vendors via professional email structures and outbound telephone calls to secure required corporate compliance documents, including lien waivers.
• Spreadsheet Telemetry Optimization: Formulate, calibrate, and maintain dynamic transaction calculators, auditing vendor delivery cycles and unit totals natively deploying Spreadsheets (Excel/Google Sheets) tracking setups.
• Cross-Functional Communication Sync: Maintain a proactive, highly consistent communication bridge using Microsoft Teams to provide real-time inventory updates across distributed client fulfillment teams.

Required Skills & Qualifications

• Demonstrated professional tracking or administrative history operating as an Inventory Control Clerk, Procurement Coordinator, Purchasing Analyst, Operations Assistant, or closely matching tech-enabled supply chain capacity.
• Expert Spreadsheet Command: Practical, hands-on operational literacy managing tabular arrays, executing formatting rules, and building lookup metrics natively using Spreadsheets (Excel/Google Sheets).
• Grounded functional comprehension of core supply chain primitives—specifically encompassing cycle counting frameworks, purchase order life cycles, and multi-tiered shipping verification metrics.
• Outstanding written, verbal, and interpersonal communication capabilities in English, with an established history handling business-to-business vendor coordination via telephone and email layers.

• Shift & Location Context: Position operates under 100% work-from-home parameters open exclusively to qualified operations authorities residing permanently within the Philippines, requiring strict operational execution on a fixed Monday through Friday Nightshift Schedule.
