SUMMARY

You are a highly organized, A+ multitasker who thrives on being the person who is responsible for keeping the trains running. The Project Manager will serve as a key member of the communications team helping to advance ZERO TO THREE’s brand awareness and reach. Reporting to the Director of Strategic Initiatives, the successful candidate will have a proven record of accomplishment in organizing details, managing deadlines and owning end-to-end budgeting in a creative environment. This cross functional position is perfect for someone who is passionate about keeping large projects organized and is ready to serve as an ambassador for the team’s project management approach. This role offers the opportunity to take on a variety of strategic operations responsibilities and grow your skills.

ESSENTIAL RESPONSIBILITIES

  • Lead large-scale, cross-departmental projects and integrated communications campaigns, serving as the primary liaison with internal stakeholders and external vendors; collaborate closely with project owners to establish project needs, oversee implementation, reporting, and archiving
  • Review new project requests and gather information to develop all facets of project plans, including priority level, roles, deliverables, key milestones, timelines, and budgets
  • Oversee the portfolio of active communications projects, ensuring alignment with organizational priorities and effective resource allocation; maintain project dashboards to track progress, provide regular updates to stakeholders, and escalate issues through the appropriate channels
  • Own the full lifecycle of vendor and partner relationships, including contract management, invoice tracking, and ongoing performance oversight, serving as the team's single point of contact and ensuring all vendor activity is accurate and timely
  • Partner with the Director of Strategic Initiatives to develop and prioritize the annual workplan, establish and refine standard operating procedures, oversee internal reporting and budget tracking, and continuously improve project management processes to ensure the smooth functioning of the team
  • Oversee the full management of the organization’s Asana platform, including maintenance, user training & support, and ongoing enhancements to ensure effective project tracking, cross-team collaboration, and alignment with organizational priorities
  • Schedule and run standups, kickoffs, and reviews as needed; manage feedback/approval loop with stakeholders on large campaigns and projects
  • Assist in the preparation of project and campaign reports for internal and external audiences
  • Perform other duties as assigned for the purpose of ensuring the efficient and effective functioning of the project

ESSENTIAL SKILLS & EXPERIENCE

  • Bachelor’s degree and 5 - 7 years related experience; Project Management Professional (PMP) certification and experience with Agile and Scrum methodologies preferred
  • Exceptional organizational skills, keen attention to detail and the ability to manage multiple responsibilities effectively against timelines
  • Proactive team player with a positive attitude and high level of energy and the desire to work in a fast-paced environment
  • Demonstrated ability to provide proactive project support for a team
  • Strong interpersonal skills
  • Experience working collaboratively with writers, designers, communications managers, and digital media specialists desired
  • Excellent writing and verbal communication skill
  • High degree of accuracy and attention to detail
  • Strong work ethic and a customer service orientation, as well as coordination skills
  • Ability to motivate team to collaborate and resolve conflict
  • Experience with project management tools, such as Wrike, Asana and Airtable
  • Must be proficient in using Microsoft Office suite; ability to learn new tools and software as required to fulfill the position’s duties

EDUCATION

Bachelor’s degree (B.A.) in management, marketing, communications, journalism, research, or related field

WORKING CONDITIONS

The work conditions described here are representative of those an employee encounters while performing this job. Depending on work location, the incumbent will typically work indoors in a heated and air-conditioned office, with a mixture of natural, incandescent, and fluorescent light with low to moderate noise levels or be subject to working conditions conducive to a home environment. When travel is expected, the incumbent will be exposed to outside environmental conditions during those times.
