Intake Coordinator

We are looking for a compassionate and highly professional Intake Coordinator to support a growing Applied Behavior Analysis (ABA) provider in the United States.

You will be the first point of contact for parents seeking autism-related services for their children. Many of these families will be reaching out during a vulnerable or stressful time, so patience, empathy, and clear communication are essential.

This is a full-time, remote position covering evenings and weekends.

Key Responsibilities

• Respond promptly to new enquiries received
• Speak with parents seeking ABA services for their children
• Provide a compassionate, patient, and reassuring first point of contact
• Gather and accurately record relevant intake information
• Explain the intake process clearly and professionally
• Follow up consistently with prospective families
• Help move suitable enquiries through the intake process
• Maintain accurate records and update the relevant systems
• Balance responsiveness and progress with sensitivity to each family’s circumstances

Requirements

• Has strong customer-facing, client service, or intake experience
• Communicates clearly and confidently in English
• Has a clear, neutral accent and is comfortable speaking with American clients
• Is compassionate, patient, and emotionally mature
• Can handle sensitive conversations with care and professionalism
• Is organised, reliable, and consistent with follow-ups
• Can build trust without rushing or pressuring families

• Healthcare administration or patient coordination
• Medical or behavioural health intake
• Social work or community services
• Customer service or client care
• Lead management in a healthcare-related environment
