Our client is a results-driven real estate investment and education company that helps military and civilian investors build wealth through shared living strategies and VA-backed real estate. The role is ideal for someone who combines strong executive support fundamentals with practical knowledge of AI tools and workflow automation. Beyond managing calendars and inboxes, the ideal candidate proactively identifies repetitive processes and uses technology to make the team’s work more efficient.
Key responsibilities
- Manage executive calendars, scheduling, appointments, and competing priorities to ensure efficient use of leadership’s time.
- Manage and organize executive inboxes, prioritize communications, and ensure timely follow-up on important messages and requests.
- Coordinate domestic and international travel arrangements, including itineraries, accommodations, transportation, and schedule changes.
- Prepare executives for meetings by organizing agendas, materials, relevant information, and follow-up items.
- Track action items, follow-ups, and commitments to ensure tasks and decisions are completed on time.
- Coordinate meetings and communication across internal teams and external stakeholders, including scheduling across time zones.
- Support day-to-day administrative and operational coordination as needed to keep priorities moving.
- Identify repetitive or manual workflows and proactively recommend opportunities for process improvement.
- Use AI tools such as ChatGPT or Claude to improve productivity, research, communication, documentation, and other day-to-day workflows.
- Build and maintain automations using tools such as Zapier, Make, n8n, or native integrations to reduce manual administrative work.
Requirements
- 4+ years of experience as an Executive Assistant, Senior Executive Assistant, Executive Coordinator, or similar executive support role.
- Proven experience supporting senior executives or leadership teams in a fast-paced environment.
- Strong calendar, inbox, scheduling, meeting coordination, and travel management experience.
- Demonstrated ability to manage sensitive information, competing priorities, and complex schedules with a high level of discretion and attention to detail.
- Highly proactive and organized, with the ability to anticipate executive needs rather than simply respond to assigned tasks.
- Strong written and spoken English, with the ability to communicate professionally with internal and external stakeholders.
- Hands-on experience using AI tools such as ChatGPT, Claude, Gemini, or similar tools in actual work workflows.
- Hands-on experience with workflow automation tools such as Zapier, Make, n8n, or native integrations.
- Comfortable identifying opportunities to automate repetitive tasks and improve administrative processes.
- Able to work independently with minimal supervision and manage priorities effectively in a remote environment.
- Willingness and ability to work full-time hours with complete overlap with U.S. Pacific Time (PST).
