What this job actually is

EOS stands for the Entrepreneurial Operating System. It's a set of tools and habits that founders use to run their business with less chaos: clear priorities, a weekly team meeting that actually stays on track, and numbers that get looked at instead of ignored. A lot of coaches and consultants either run their own business on it, or help other businesses install it. You don't need to know any of this walking in, but it helps to understand what you're stepping into.

Founders who run EOS-based businesses live by two things: clarity and follow-through. This role protects both. You keep the inbox, calendar, and client records clean enough that nothing important gets missed because an email sat unanswered or a meeting went in unprepared.

The founder's business might be a coaching practice, an EOS Implementer's firm, or a consultancy. The tools change from one to the next. What doesn't change is that you own the inbox, the calendar, and the follow-through, so the founder spends their day on the work only they can do.

What you'll actually do

  • Keep the founder's inbox at zero, replying in their voice where you can and flagging only what genuinely needs them
  • Manage the calendar and have meeting prep ready before anyone has to ask for it
  • Track action items from meetings and planning sessions with an owner and a due date, and chase what's stalling
  • Run the onboarding checklist for each new client so nothing slips in the first weeks
  • Keep client records and deliverable handoffs clean enough that someone else could pick them up cold
  • Coordinate contractors (designers, VAs, tech support) so their work lands on time

Requirements

What we're actually looking for

  • 3+ years as an executive assistant supporting a founder, coach, or consultant, including at least one 12+ month stretch with the same person, or two founder references you can give us
  • A real, sustained history of managing an inbox and calendar for a busy executive. If you can point to a specific stretch handling a high volume of meetings, mention it
  • Hands-on experience for a year or more with at least 3 of these: Google Workspace, Zoom, Calendly, Slack, ClickUp or Asana, HubSpot, GoHighLevel, Kajabi
  • A sustained stretch of either 2+ launches, webinars, or events a month, or 30+ client follow-up tasks a week
  • Written and spoken English that's genuinely fluent, including the ability to write convincingly in someone else's voice
  • Knowing EOS (the Entrepreneurial Operating System) isn't required, but it's a real plus. If you've never heard of it, look it up before you apply. Showing up able to talk about Rocks, L10s, and Scorecards without us explaining them first will get you noticed

  • Internet that doesn't drop calls, and a quiet space to actually work from
  • You show up on time. Every time
  • If something's slipping, you say so before it becomes a bigger problem, not after
  • You do what you said you'd do without someone reminding you
  • What's shared with you stays with you. Always

How the process actually works

Six steps. Same steps whether or not there's a founder waiting.

  1. We read your CV. An obviously AI-written one with nothing specific in it usually shows, and it doesn't help you.
  2. A short intro video, a couple of minutes. We're checking whether you're clear and comfortable on camera, your English skills, and your professional setup (camera, lighting, sound...)
  3. A call with a recruiter, about 30 minutes. Bring a specific example of something you've actually handled, not a general answer. This is also when your recruiter tells you clearly whether there's a founder waiting for this role or not.
  4. A written exercise where you draft a message in someone else's voice. It's checking whether you can actually sound like somebody who isn't you.
  5. A reference check. We'll ask for someone who worked closely with you, not a character reference.
  6. If a founder's ready: one interview with them. They make the final call on who they hire.

Here's the honest part, in plain terms: sometimes when you finish this process, there's no job waiting yet. That's not a runaround, it's how we work. We'd rather spend the time getting to know good people properly now, so that when a founder does come looking for someone like you, we already know you're ready instead of starting the search from scratch. If that's your situation, you won't be left guessing. We'll tell you honestly where things stand, including when the honest answer is "nothing new yet." And if you take another job while you're waiting, that's completely fine. Just tell us, and we'll pick things back up whenever the timing works.

What to actually expect from us

If you make it to an interview, you'll get real, specific feedback about how it went either way, not a copy-paste line. If your CV doesn't move forward, you'll still hear back, but it'll be a quick automated note rather than a personal one.
