As a Business Operations Specialist - Automation, you will play a critical role in building and maintaining the technical infrastructure that powers recurring business operations. You'll work across automation, integrations, workflows, scripting, AI-enabled systems, and process improvement to reduce manual work and make operational processes more reliable.

This role is ideal for someone who is comfortable building things from scratch, troubleshooting when systems break, and thinking through the logic behind how different tools and processes connect. You'll need to move beyond simply configuring no-code tools and be comfortable working with scripting, backend logic, APIs, and technical workflows while still understanding the operational problem you're solving.

Accountability

Your success as the Business Operations Specialist - Automation will be defined by your ability to build reliable automations, solve technical operational problems, and continuously improve the systems that support recurring business processes.

Automation Development & Implementation

  • Build zero-to-one automations for recurring business processes.
  • Design and implement multi-step workflows across different tools and systems.
  • Work with platforms such as Google Workspace, Zapier, Slack, Zoom, payment tools, and forms.
  • Build workflows involving calendar invitations, meeting creation, payment updates, coupon codes, community access, and post-purchase notifications.
  • Work with triggers, dependencies, conditional logic, and multi-step workflow architecture.
  • Move beyond basic no-code configuration into scripting, backend logic, and technical automation where required.
  • Identify opportunities to replace repetitive manual processes with reliable automated workflows.

Technical Troubleshooting

  • Investigate failed automations, broken integrations, and unexpected workflow behavior.
  • Identify root causes rather than simply fixing visible symptoms.
  • Troubleshoot edge cases, dependencies, and unexpected inputs.
  • Investigate issues involving firewalls, user environments, integrations, and system configuration.
  • Determine whether an issue can be resolved independently or requires escalation.
  • Follow technical issues through to resolution and document important learnings.

Forms & Workflow Architecture

  • Build and maintain structured forms and workflows using tools such as Google Forms.
  • Implement conditional logic to ensure users follow the correct workflow.
  • Design centralized systems that reduce fragmented information and manual movement between tools.
  • Identify opportunities to simplify how information moves between systems.
  • Ensure workflows are structured, maintainable, and easy for others to understand.

Automation QA & Maintenance

  • Test automations before and after implementation.
  • Proactively monitor recurring workflows for failures or unexpected behavior.
  • Identify potential points of failure before they affect users or operations.
  • Maintain and improve existing automations as business requirements evolve.
  • Ensure automated processes remain reliable as the number of users, workflows, and dependencies increases.

AI & Technical Enablement

  • Use AI tools such as Claude and ChatGPT to support technical problem-solving and operational workflows.
  • Explore AI-enabled workflows, bots, agents, and shared AI infrastructure.
  • Identify opportunities to use AI to reduce repetitive operational work.
  • Support automated reporting and other AI-enabled operational processes.
  • Experiment with emerging AI capabilities while maintaining appropriate human oversight.
  • Translate operational requirements into practical AI and automation solutions.

Process Documentation

  • Document automation architecture, dependencies, and workflow logic.
  • Create clear troubleshooting guidance for recurring technical issues.
  • Document important system knowledge so that processes do not depend on a single person's institutional knowledge.
  • Maintain documentation as workflows and systems evolve.
  • Make technical processes understandable to relevant operational stakeholders.

Operational Improvement

  • Identify repetitive, manual, or unnecessarily complex operational processes.
  • Design and implement improvements rather than simply working around inefficient systems.
  • Structure ad hoc workflows into repeatable processes.
  • Balance building new systems with maintaining existing ones.
  • Continuously look for ways to make business operations more reliable and efficient.

You'll work closely with operational stakeholders and cross-functional contributors to understand how recurring processes work, identify where friction exists, and build technical solutions that improve them. You'll need to communicate clearly about technical issues, explain workflow logic where necessary, and ensure that the systems you build are practical for the people using them.

Skills and Qualifications

As a Business Operations Specialist - Automation, your vertical focus will be on automation development, technical troubleshooting, and workflow architecture, while your horizontal focus includes AI-enabled operations, scripting, process improvement, documentation, and cross-functional collaboration.

  • Experience: 3+ years of hands-on experience building, troubleshooting, and maintaining business automations, workflows, and technical systems.
  • Automation: Strong hands-on experience building and debugging multi-step Zapier automations.
  • Workflow Logic: Strong understanding of triggers, dependencies, conditional logic, and multi-step workflows.
  • Zero-to-One: Experience building operational automations and systems from scratch rather than only maintaining established processes.
  • Technical Capability: Ability to work beyond no-code tools and into scripting, backend logic, APIs, or comparable technical workflows.
  • Cloudflare Workers: Experience with Cloudflare Workers or a comparable serverless/backend environment.
  • AI Fluency: Strong proficiency with AI tools such as Claude, with the ability to use AI for technical problem-solving and operational workflows.
  • Google Workspace: Strong familiarity with Google Workspace and Google Forms.
  • Integrations: Experience working with Slack automations and connecting multiple tools into a single workflow.
  • QA & Maintenance: Strong attention to detail and experience testing, monitoring, and maintaining automated workflows.
  • Problem-Solving: Ability to investigate root causes, identify solutions, and follow technical issues through to resolution.
  • Documentation: Ability to clearly document technical processes, dependencies, and troubleshooting steps.
  • Communication: Proactive communication and the ability to explain technical issues clearly to non-technical stakeholders.
