Our UK-based client needs a full-time, remote Administrative Coordinator - an organised, dependable South African professional who keeps projects, paperwork and people moving in the right direction. This is a long-term role working UK business hours, with real responsibility from week one.
The client is a busy UK company where operations move quickly and details matter. They are not looking for someone to simply process tasks; they want a coordinator who spots what is missing, chases what is late, and builds small systems that stop problems repeating.
Key Responsibilities
- Coordinate schedules, meetings and deadlines across multiple teams
- Prepare, format and proofread documents, reports and presentations
- Maintain accurate records, trackers and filing systems
- Chase outstanding actions and keep task lists honest and current
- Handle supplier queries, orders and administrative correspondence
- Support managers with travel bookings, expenses and ad-hoc requests
- Improve small processes so the same problem never lands twice
What You Will Be Doing Day-to-Day
Mornings start with the trackers: what is due, what is overdue, and who needs a nudge. You will confirm the day's meetings, prepare any documents needed, and clear the administrative inbox before it builds up.
Through the day you will move between coordination and execution - updating records, formatting reports, logging supplier responses, and keeping every plate spinning without drama. You will close each day with tomorrow already half-organised.
This role suits a South African professional who likes order, notices details other people miss, and gets quiet satisfaction from a plan that actually happens. You will work independently, but never alone - the team communicates constantly and values people who speak up early.
Requirements
- 3+ years' experience in administration, coordination or office support
- Excellent written and spoken English with a confident, professional manner
- Proven reliability: stable fibre internet, backup power for load shedding, and a dedicated home office
- Strong command of tech tools: Google Workspace or Microsoft 365, spreadsheets, and shared task trackers
- Exceptional attention to detail with disciplined follow-through
- Comfortable juggling multiple priorities to UK business hours without dropping any
