The Specialist III, Procurement ensures Nightingale’s purchasing operations run seamlessly—converting requests into accurate, compliant purchase orders while aligning vendors, Finance, and internal teams for smooth execution. This role demands precision and follow-through, ensuring classrooms and learner-facing teams receive necessary resources on time.

What You’ll Do

  • Oversee the procurement intake process, ensuring all requests include required details like scope, pricing, service period, business justification, approvals, and applicable coding.
  • Validate and route requests before commitments are finalized, returning incomplete submissions and escalating exceptions per policy.
  • Create, issue, and maintain purchase orders (POs) in the procurement/ERP system, guaranteeing accuracy in vendor details, pricing, quantities, terms, and supporting documentation.
  • Track PO status through fulfillment, including backorders, shipment/delivery timing, change requests, and cancellations, while proactively communicating impacts to stakeholders.
  • Coordinate day-to-day vendor interactions regarding ordering, delivery questions, PO/invoice discrepancies, and issue resolution, escalating risks or delays to leadership as needed.
  • Maintain purchasing documentation and records (quotes, approvals, PO history, and receiving evidence) to support audit readiness and reporting.
  • Participate in functional projects, process improvements, and professional development activities.
  • Perform other duties as assigned to support the College’s mission and Procurement Function.

What You Bring

Required:

  • A 4-year degree from an accredited institution or equivalent relevant experience.
  • Demonstrated experience providing customer service to multiple stakeholders.
  • Proven proficiency in inventory management.
  • Proven proficiency in distribution coordination.
  • Strong written communication skills.
  • Experience with Microsoft Outlook and SharePoint.

Preferred:

  • Experience with Sage or similar ERP/procurement platform.
