Keller Postman seeks a Special Projects Team Lead to support its practice of representing a broad array of clients as plaintiffs in complex litigation at the trial and appellate levels. The Team Lead is responsible for managing a team of Special Projects Assistants. The Team Lead will frequently assess the skills and abilities of each team member to ensure that they are equipped to provide the highest level of service to case teams and other internal stakeholders. The Team Lead will play a key role in the training and development of each of the Special Projects Assistants by providing on the spot feedback and coaching.
Essential Functions:
- Responsible for directly managing 5-10 direct reports, providing the necessary training, coaching, and instruction for their day-to-day tasks.
- Seek out, generate, and maintain internal projects to be worked on during any lulls in project volume.
- Consistently monitor progress and quality of active projects and keep team on track to complete projects within provided timelines.
- Train and monitor staff to improve performance and to ensure that protocols are being followed.
- Manage daily workload and special project assignments, assigning out new manual intake tickets and balancing simultaneous project needs from different case teams.
- Build and maintain Excel trackers, dashboards, and reporting tools to monitor team productivity, case volume, and project status across multiple case teams.
- Analyze case and project data using Excel (pivot tables, VLOOKUP/XLOOKUP, conditional formatting, and formula-based reporting) to identify trends, bottlenecks, and staffing needs.
- Assist with the preparation of training materials for new hires and existing employees.
- Partner with the Learning and Development team to identify knowledge gaps and recommend training initiatives or tools to improve performance.
- Prepare performance metrics and data reports, including Excel-based dashboards, to share with management when requested.
- Learn and retain all relevant case procedures and data entry protocols in order to train new SPAs.
- Collaborate with department management and other business leaders to proactively identify areas of improvement around employee experience.
- Provide regular, structured performance feedback to team members, including formal reviews and documented coaching plans, to develop their skills and enhance productivity.
- Set individual and team performance goals, and hold direct reports accountable to established metrics and deadlines.

Required Skills & Abilities:
- Proven ability to manage, motivate, and hold accountable a team of 5 or more employees.
- Ability to maintain a high level of accountability in a fast-paced, high-volume environment.
- Excellent verbal, written, and interpersonal communication skills.
- Strong analytical, problem-solving, and decision-making skills, with the ability to use data to drive team decisions.
- Ability to multi-task, prioritize competing deadlines, and to work independently or as part of a team.
- Ability to learn and retain protocols for a diverse range of case types and project types.
- Advanced proficiency in Microsoft Excel required, including pivot tables, VLOOKUP/XLOOKUP or INDEX-MATCH, conditional formatting, data validation, and building reporting dashboards. Experience with macros or basic automation (e.g., recorded macros) a plus.
- Intermediate proficiency in the remainder of the Microsoft Office suite (Word, Outlook, PowerPoint).
- Demonstrated experience delivering performance feedback, coaching underperformers, and developing junior staff.
Education/Experience:
- 1-3 years of supervisory or people management experience required, including direct experience managing teams of 5 or more.
- Demonstrated track record of leading teams in a fast-paced, deadline-driven, or high-volume operational environment (legal, litigation support, or professional services experience preferred).
- Experience with hiring, onboarding, and performance management processes preferred.
- College Degree required.
