As a Procurement Analyst, you will own the financial side of construction procurement for Giga data center projects. Reporting to the Procurement Manager, you will ensure our budget codes, schedules of values, and pay applications are accurate, tied together, and on time. You will make sure every dollar committed is coded to the project budget and that every dollar paid ties to executed paper. Each month, you will run the cycle that takes subcontractor pay applications from receipt to paid. You will also report committed, invoiced, and paid costs to the project team and Finance.
Our procurement platform is AI-native. AI agents built on Claude and our Google Sheets and Drive data spine handle intake, matching, checking, and logging. You will help build and run the pay application system on this platform, focusing on exceptions, follow-through, and clean records rather than retyping. This is a hands-on individual contributor role for a highly organized person who likes systems, deadlines, and numbers that tie.
Responsibilities
Budget Codes and Cost Control
- Own the budget codes on the PO budget register. Code every purchase order and change order to the project budget before issuance.
- Keep budget codes aligned with the Project Controls baseline as estimates update. Reconcile differences and flag variances early.
- Record each change order against its contract and budget code, confirming executed paper exists before any change is paid.
- Report estimate, committed, invoiced, paid, retention held, and remaining cost for each budget code.
Schedules of Values and Pay Applications
- Set up a schedule of values for each subcontract at award, confirming it ties to the contract price.
- Review each monthly pay application against the schedule of values, executed contract, and approved change orders before approval.
- Confirm field validation of percent complete before releasing a pay application for approval.
- Track retention held and released on each contract.
- Collect the correct conditional and unconditional lien waivers each cycle, including lower-tier waivers where required.
- Hand approved payments to Finance through Ramp with a complete approval record, catching amount, vendor, and banking mismatches before payment.
Build and Run the Monthly Cycle
- Help build the pay-application-to-paid system on our AI-native platform, including intake, checks, approval routing, logs, and reports.
- Run the monthly cycle, with subcontractor pay applications due on the 20th. Process each application through review, approval, payment hand-off, and close.
- Prepare the cash flow forecast for Finance weekly and monthly, showing approved, held, and due amounts.
- Assemble the procurement backup for Giga’s own pay applications to its customers, in partnership with Finance.
- Close out purchase orders and contracts, including final waivers, retention release, and final reconciliation.
- Improve the system monthly by identifying and fixing bottlenecks in the cycle.
