Position Overview

We are seeking a highly analytical, detail-oriented Press Release Operations Specialist to join our core centralized Solutions Support organization in a full-time remote capacity within the United States. In this critical, customer-facing operational seat, you will claim individual accountability for helping clients successfully distribute press releases and manage newsroom content through Muck Rack’s platform. Shifting completely away from mechanical message forwarding or passive ticket tracking, you will work directly with PR professionals to troubleshoot formatting errors, ensure timely and accurate distribution, and provide operational support during high-visibility corporate communications moments. This role requires a quick learner who thrives in fast-paced environments, maintains an absolute composure under time-sensitive pressure, and operates with extreme precision across distribution workflows. The scheduled working hours for this role are 12:00 PM – 9:00 PM ET.

Key Responsibilities

  • End-to-End Press Release Distribution Support: Guide and monitor customers through the entire press release distribution lifecycle, managing tasks smoothly from initial submission to final media delivery.
  • Omnichannel Customer Problem Resolution: Deliver clear and professional live support to clients across time-sensitive channels natively utilizing Customer Support parameters to drive responsiveness.
  • Technical Formatting and Scheduling Triage: Troubleshoot and resolve platform issues related to text formatting, scheduling parameters, publishing layers, and downstream distribution networks natively using Technical Support frameworks.
  • Newsroom Management Administration: Assist enterprise PR teams with custom newsroom configuration, content publishing functionality, and media contact verification.
  • Release Monitoring and Status Verification: Audit active release queues systematically, providing immediate updates or confirmations to clients regarding positive media coverage and brand reputation tracking.
  • Structured Engineering Bug Escalation: Isolate complex platform anomalies and system crashes fluidly, routing structural issues cleanly to internal Product and Engineering teams when appropriate.
  • Internal Process and Runbook Curation: Author, optimize, and maintain internal support documentation, customer onboarding workflows, and operational process updates to accelerate team delivery.
  • Proactive Generative AI Integration: Incorporate advanced Large Language Models and automated AI tools responsibly into your day-to-day operations to improve productivity and maximize delivery metrics.

Required Skills & Qualifications

  • Proven professional history running advanced customer support, SaaS client operations, helpdesk troubleshooting, technical help desk services, or customer-facing data administration.
  • Exceptional attention to detail and strong organizational traits, with a demonstrated capability to manage multiple operational priorities and deadlines simultaneously.
  • Deep, authoritative familiarity navigating ticketing software, multi-tier CRM systems, or enterprise case management platforms natively utilizing Customer Support best practices.
  • Practical experience identifying root causes and mitigating software formatting, scheduling, or publishing hitches natively leveraging Technical Support workflows.
  • Outstanding verbal and written communication mechanics in fluent English, ensuring clear, calm, and solutions-oriented interactions during high-visibility or urgent corporate crisis windows.
  • Schedule and Location Constraints: Position open exclusively to qualified candidates base-stationed permanently and resident within the **United States**, with the strict ability to work standard hours of **12:00 PM – 9:00 PM ET**.

Preferred Strategic Indicators (Nice to Have)

  • Prior commercial history operating within a public relations agency, digital media house, news wire service, media relations platform, or high-growth SaaS enterprise.
  • Familiarity with professional editorial syntax standards, explicitly including **AP Style** (Associated Press guidelines).

  • Willingness and readiness to travel up to 10% annually for distributed team collaboration events, customer engagements, and the annual company offsite typically held in Mexico.
