We’re Heidi.

We're building the future of healthcare by giving every clinician the earth's finest AI Care Partner. In just 18 months, our clinical AI products have absorbed the administrative chaos of 73 million patient visits. Today, we support over 2.5 million patient sessions a week across 190+ countries.

Healthcare systems are failing us; clinicians spend more time on documentation than on patients, and the human connection that makes medicine worth practicing is eroding. Our mission is simple: double the world’s healthcare capacity and strengthen the human connection at its heart.

We found product-market fit with a freemium medical scribe that clinicians love. Now, we're expanding. Every task a clinician hands to Heidi is a patient who feels more attended to, a health system unclogged, and a clinician who gets to be a clinician again.

If you don’t choose easy and you want to build something way bigger than yourself, then choose the challenge, choose Heidi.

The Role

Getting people paid accurately and on time, wherever they are, is one of the most important things we do for our team. As Payroll Specialist, you'll manage end-to-end payroll delivery for Australia, coordinate UK and Singapore payroll with our external providers, and liaise with our Employer of Record (EOR) partner for employees in other countries — working closely with the Global Payroll Lead to keep our payroll operations accurate, compliant, and scalable as the company grows.

This is a hands-on role for someone who enjoys the technical and process side of payroll as much as the people side — you'll be a key point of contact for employees on pay matters and a trusted partner to People & Culture, while sitting within the Finance team. What you’ll do:

  • Escalate any non-compliance or other risks to the Global Payroll Lead
  • Contribute to the maintenance of the payroll shared drive and ensure historical records are filed accurately
  • Support the Global Payroll Lead on payroll transformation initiatives, system improvements, and process standardisation across AU, UK, and SG payroll, as well as EOR-managed and future new entities
  • Review and verify employee-submitted data in Rippling (via employee self-service), ensuring changes to bank details, tax status, and personal information are accurately reflected before each pay run
  • Help ensure payroll-critical employee data is accurately captured and maintained, flagging data quality issues upstream to the Global Payroll Lead and People team
  • Contribute accurate payroll data and reporting inputs to support monthly AU state payroll tax returns, insurance premium calculations, annual payroll tax reconciliation, end-of-year reporting for AU and Singapore, month-end payroll journals, and leave liability reports
  • Prepare ad hoc payroll reporting as required

What you'll need:

  • 3+ years experience in a payroll specialist or similar role, ideally spanning more than one country/jurisdiction
  • Working knowledge of Australian payroll legislation and compliance requirements (Fair Work, superannuation, payday super, STP, payroll tax)
  • Hands-on experience processing payroll in Rippling, including oversight of automated STP reporting and superannuation payments
  • Comfortable working with employee self-service (ESS) systems, including reviewing and actioning employee-submitted changes
  • Comfortable coordinating with an external payroll provider and working within a multi-stage approval workflow
  • Strong Excel skills and comfort working with data across multiple systems
  • High attention to detail and a strong sense of discretion with sensitive information
  • Clear, confident communicator who can explain payroll matters to non-payroll people
  • Comfortable working in a fast-moving, scaling environment where processes are still evolving

How we show up:

  • Build for the next decade, not next quarter. Our targets are outrageous on purpose.
  • Lead, don't wait. We treat tomorrow's problems today.
  • Follow the evidence. Trust the patient. We pursue truth relentlessly.
  • Own the outcome. Everyone here carries the company.
  • Ship, measure, go again. A button today, a workflow tomorrow.
  • Live in clinicians' reality. Not the ideal workflow, the twenty-patients-before-lunch actual one.

Why Heidi?

You’ll join a team focused on real-world impact over imaginary valuations and glossy PR. We live and breathe the challenges of modern health systems, and are laser-focused on exacting the change we’d like to see.

Building what we’re building isn’t always easy. But we didn’t choose easy, we chose to build something that actually matters.

We take care of you:

We offer a ₱15,000 annual learning and development budget, a ₱3,000/month health and wellness allowance, a ₱10,000 home office budget, 26 weeks paid primary parental leave and 18 weeks paid secondary parental leave, fertility support up to ₱150,000, four weeks of work from anywhere per year, and comprehensive HMO coverage for you and up to two dependents.
