Key Responsibilities
In this role, you will speak with patients who have already completed consultations for high-value treatments but have not yet moved forward. Your goal is to understand what is preventing the patient from proceeding, address nonclinical concerns, identify the appropriate next step, and help re-engage and convert qualified patients while maintaining a warm, empathetic, and consultative approach.
- Follow up with patients who have completed consultations but have not yet proceeded with treatment.
- Build trust and rapport with patients through professional, empathetic, and consultative conversations.
- Identify the underlying reasons a patient has not moved forward, including:
- Financing and affordability
- Timing or scheduling concerns
- Fear or uncertainty
- Spouse/family considerations
- Comparing providers or treatment options
- Unanswered questions or loss of momentum
- Help patients identify an appropriate next step, including scheduling or rebooking appointments when appropriate.
- Coordinate with the practice and clinical team to ensure patients receive the appropriate information and support.
- Recognize clinical questions or concerns that require escalation to the appropriate healthcare professional.
- Maintain accurate and detailed CRM documentation of patient conversations, follow-ups, and outcomes.
- Consistently follow up with prospective patients and manage opportunities through the conversion process.
- Prioritize patient needs and experience while effectively supporting treatment acceptance and practice revenue goals.
Requirements
- Direct patient-facing healthcare or dental experience is strongly preferred.
- Demonstrated experience in patient conversion, consultative sales, treatment coordination, or case acceptance.
- Experience in one or more of the following is highly valuable:
- Dental Treatment Coordinator
- Implant Treatment Coordinator
- Patient Treatment Coordinator
- Surgical Treatment Coordinator
- Patient Financial Coordinator with sales responsibilities
- Patient Case Acceptance
- Cosmetic or elective healthcare patient sales
- Plastic Surgery Patient Coordinator
- Hair Restoration Patient Consultant
- Fertility Patient Consultant
- High-ticket healthcare sales or patient conversion
- Experience with high-value elective procedures, dental implants/full-arch, treatment financing, or case acceptance is a strong advantage.
- Strong professional spoken English with excellent active listening and communication skills.
- Warm, empathetic, confident, and comfortable communicating with patients over the phone.
- Strong ability to ask effective discovery questions and uncover the real reason behind a patient's hesitation.
- Comfortable discussing sensitive topics such as affordability, financing, timing, and uncertainty.
- Strong CRM documentation and follow-up skills.
- Able to work collaboratively with clinical and administrative teams.
- Demonstrated patient-conversion ability is more important than generic years of sales experience.
Minimum Technical and Work Environment Requirements:
- Internet Connection:
- Primary internet connection with a minimum speed of 15 Mbps.
- Backup internet connection with at least 10 Mbps.
- Backup connection must be capable of supporting work during a power outage.
- Primary Device:
- Desktop or laptop equipped with at least:
- Intel Core i5 (8th generation or newer), Intel Core i3 (10th generation or newer), AMD Ryzen 5, or an equivalent processor.
- A minimum of 8 GB RAM.
- Backup Device:
- Must meet or exceed the performance of an Intel Core i3 processor.
- Must be functional during power interruptions.
- Peripherals and Workspace:
- A functioning webcam.
- A noise-canceling USB headset.
- A quiet, dedicated home office space.
- A smartphone for communication and verification purposes.
