Position Overview
We are seeking a highly analytical, detail-obsessed, and systems-minded Operations & People Associate to join our core centralized Operations division in a full-time remote capacity across Canada. Operating as the primary operational anchor and cross-functional connective tissue driving our internal business support engines, you will step up to claim true individual strategic and operational accountability across a broad, threefold scope: corporate administrative execution, distributed people operations, and ad-hoc team workflow optimization. Shifting completely away from routine lead cold-calling, complex software coding, deep financial audit indexing, or passive data log entry queues, you will run an active corporate enablement lab—partnering face-to-face with growth experts, creative directors, and steering committees. This position requires an internet-native or digital agency veteran with 2+ years of background who architectures polished team decks fluidly natively using Presentation Design structures, administers cross-cutting corporate support mechanisms smoothly natively using Virtual Assistant guidelines, and commands complex workspace tools confidently under strict Eastern Time (ET) business hours.
Key Responsibilities
- Polished Corporate Presentation Architecture: Own, design, and implement high-signal presentation decks and reporting structures for comprehensive internal team meetings, translating abstract campaign numbers into crisp visual insights cleanly natively utilizing Presentation Design guidelines.
- Full-Lifecycle Billing and Expense Governance: Prepare, verify, and process ongoing client and vendor invoices, managing automated expense reimbursements while tracking corporate ledger lines with uncompromised accuracy natively leveraging Virtual Assistant practices.
- Comprehensive Calendar and Memo Coordination: Orchestrate cross-functional calendar management, schedule executive sessions, and help draft multi-tiered monthly operational memos for the corporate steering committee to maintain high organizational visibility.
- Performance Management System Upkeep: Maintain and support Superbolt’s internal performance evaluation architecture, updating tracking milestones and ensuring absolute database hygiene across team reviews.
- Frictionless Talent Ingestion Support: Coordinate the end-to-end administrative onboarding and offboarding workflows for distributed teammates, ensuring proper software provisioning, handbook distribution, and profile archiving.
- Internal Organizational Structure Governance: Keep the unified company org chart up to date, program programmatic team time-tracking metrics registries, and coordinate internal Net Promoter Score (NPS) loops to monitor internal cultural health.
- Omni-Channel Partner Communication Triage: Manage and streamline external email correspondence channels and partner updates beside distributed vendors, contractors, and agency stakeholders to eliminate delivery bottlenecks.
- Ad-Hoc Tactical Issue Resolution: Jump proactively into distributed Slack channels to resolve unexpected resource bottlenecks on behalf of client-facing growth cells, approaching operational challenges with a positive, solutions-oriented can-do profile.
Required Skills & Qualifications
- A minimum of 2 years of verified professional history running advanced business operations, human resource administration, executive virtual assistance, project coordination, or administrative office consulting.
- Expert-tier capability formatting slide layouts, structuring content cards, and managing asset symmetry natively utilizing Presentation Design techniques.
- Practical operational familiarity managing task lists, scheduling stakeholder syncs, and reviewing ledger documentation natively using Virtual Assistant standards.
- Deep, authoritative technical proficiency navigating the Google Workspace suite (Docs, Sheets, Slides, Drive) and managing workspace rules inside Slack.
- Time-Zone Sync Requirements: Position requires the absolute baseline operational readiness to work fully aligned and synchronized to Eastern Time (ET) zone business hours to support a distributed New York headquartered agency structure.
- Outstanding written and spoken verbal communication traits in fluent English, enabling total clarity when authoring executive committee memos or coordinating external partner emails.
- An independent, highly self-directed operator profile capable of staying deeply engaged, responsive, and available under a 100% remote layout.
- Contractual Structural Sourcing: Position is structured as a full-time Contractor of Record engagement in Canada with an anticipated start date running across July/August 2026.
- Location Context: Position open exclusively to qualified administrative operators based permanently and resident within the borders of Canada to operate under a remote work-from-home setting.
