The role of Job Scheduler/Coordinator at D2B involves booking, coordinating, and scheduling jobs for the team. The successful candidate will ensure work is allocated efficiently based on each staff member’s skillset, experience, location, availability, and job requirements. The focus is on maintaining an accurate schedule, coordinating job allocations, and ensuring the team has the right resources to complete jobs efficiently and on time.
This position requires either Australian or New Zealand fire services industry experience, with an understanding of job scopes, durations, and required skills, or previous job scheduling/coordination experience within an Australian or New Zealand business or service environment.
Responsibilities:
- Book and schedule jobs for the field team based on job requirements, location, staff availability, and skillset.
- Allocate jobs to the most suitable staff member based on their experience and capabilities.
- Review job requirements and assess the expected duration, skills, and resources needed.
- Coordinate changes to schedules, including urgent jobs, cancellations, rescheduling, and staff availability.
- Maintain accurate and up-to-date job schedules and records in Uptick.
- Coordinate with internal teams and field staff to ensure they have the necessary job details and instructions.
- Monitor scheduled jobs and identify potential scheduling conflicts or delays.
- Ensure jobs are scheduled efficiently to minimize travel time and maximize team utilization.
- Communicate scheduling updates and changes clearly and promptly.
- Support the team with general scheduling and coordination tasks as required.
Requirements:
Qualifications:
- Previous experience in job scheduling, workforce coordination, service coordination, or a similar role, preferably within an Australian or New Zealand business/service environment, OR experience working within the Australian or New Zealand fire services industry.
- For candidates with fire services experience, a good understanding of job scopes, typical job durations, and the skills required for different types of work.
- Australian or New Zealand industry experience is required.
- Strong organizational and time-management skills.
- Excellent attention to detail and ability to maintain accurate schedules.
- Ability to prioritize and manage multiple jobs and changing requirements.
- Strong communication and coordination skills.
- Comfortable working with scheduling and job management software, with Uptick experience being highly desirable.
- Ability to work independently in a remote environment.
- Previous experience coordinating field-based or mobile teams is an advantage.
