Position Overview

We are seeking a highly analytical, tech-savvy Executive Sales Assistant to join our core centralized leadership cell in a full-time remote capacity within the Philippines. Operating as the strategic right hand and primary operational extension to our CEO, Reef Colman, you will step up to claim individual strategic accountability for managing, defining, and optimizing high-level client relationship channels, revenue pipelines, and corporate administrative assets. Shifting completely away from routine passive message taking or standard administrative filing loops, you will act as a high-agency connector behind the scenes, ensuring no deal milestone falls through the cracks. This position requires an early-career or mid-level business support specialist who leverages cutting-edge generative AI models fluidly, coordinates multi-region calendar schedules smoothly across global time zones, handles sensitive business-to-personal administrative tasks under a strict 10:00 AM – 6:00 PM PST graveyard shift, and holds an active alignment with our core values of emotional regulation, major ownership, and uncompromised excellence.

Key Responsibilities

  • Omnichannel Client Communication and Follow-Ups: Govern and execute all high-stakes follow-up interactions with global leads and priority partners, proactively maintaining rapid communication loops natively utilizing Virtual Assistant templates across email, iMessage, WhatsApp Groups, and Google Messages.
  • C-Suite Calendar and Time-Block Governance: Own and structurally maintain the CEO’s comprehensive calendar, coordinating external client demos and internal meetings while partner-aligning with operations cells to protect critical deep-work time blocks.
  • Dual-Inbox Triage and Correspondence: Manage and organize both personal executive and main WeAssist digital inboxes, filtering for immediate urgency, flagging high-value opportunities, and drafting business-ready responses independently.
  • Action Item Extraction and Documentation: Attend weekly sales meetings to capture, extract, and systematically map action items from live calls into organized project management boards natively leveraging Executive Assistant directories inside Notion and ClickUp.
  • HubSpot Pipeline and Record Upkeep: Update lead tracking records, manage client deal stages in real time, log contextual meeting notes, and audit lead source data points to maintain absolute CRM system hygiene.
  • Full-Cycle Client Onboarding Administration: Manage the end-to-end post-sale onboarding journey, drafting personalized service contracts, provisioning corporate Slack channels, assembling kickoff documentation, and scheduling strategy briefing blocks for recruitment cells.
  • Quantitative Sales Tracker Reporting: Maintain, update, and balance five critical sales performance trackers, compiling monthly performance recaps and data summaries for executive evaluation loops.
  • B2B Outreach and Affiliate Coordination: Coordinate communication channels with external affiliate partners providing inbound client leads, while nurturing non-responsive or cold leads through systematic, polite follow-ups.
  • Personal and Administrative Executive Assistance: Streamline the CEO’s daily focus by executing varied administrative tasks, including booking international travel logistics, managing personal supplied registries, and arranging residential home services.

Required Skills & Qualifications

  • Proven professional history running advanced executive assistance, virtual administrative support, sales enablement coordination, client success management, or project tracking consulting.
  • Deep, authoritative technical understanding of full-cycle sales funnels, CRM pipeline milestones, calendar time-blocking rules, and distributed digital project coordination.

  • Mandatory AI Awareness and Prompt Engineering Mastery: Demonstrated proficiency utilizing generative AI tools responsibly to maximize workflow speed, showcasing clear baseline skill mapping out prompt strings across platforms (explicitly utilizing ChatGPT for comms, Claude for logic, Gemini for media, and Perplexity for contextual research).
  • Corporate Shift and Tooling Compliance: Absolute capability to work a fixed full-time schedule following 10:00 AM – 6:00 PM Pacific Standard Time (PST) business hours from a quiet home office, featuring a clean backdrop, a high-quality camera, a clear microphone, and robust internet links (maintaining a preference for an iPhone device for iMessage database syncing).
