Executive Assistant to CEO (Marketing Agency - Social Impact)

The agency consists of strategists, creatives, and technologists dedicated to helping organizations create meaningful change through brand strategy, graphic design, website development, copywriting, and communications strategy. About the Role: We are seeking a sharp, proactive, and highly organized Executive Assistant to work closely with the CEO. This role involves managing the CEO’s day-to-day responsibilities and ensuring the business runs smoothly.

The ideal candidate will take ownership of administrative details, including the CEO’s calendar, priorities, follow-ups, and workflows. This role is not just about managing a calendar but about understanding the CEO’s work style, anticipating needs, and becoming a trusted partner who acts proactively.

Key Responsibilities:

• Manage the CEO’s calendar, meetings, travel, and scheduling with increasing autonomy.
• Track follow-ups, action items, and priorities to keep the CEO and team organized.
• Prepare meeting materials, correspondence, and other documents as needed.
• Support day-to-day administrative and operational tasks, including research, file organization, and scheduling.
• Support business development by coordinating follow-ups, maintaining contacts, and preparing outreach materials.
• Communicate with clients, prospects, and team members as needed.
• Proactively anticipate needs and help the CEO stay focused on clients, strategy, and growth.

Requirements:

• 3+ years of experience supporting an executive, founder, or senior leader.
• Strong English communication and organizational skills.
• Highly proactive, detail-oriented, and comfortable working independently.
• Strong judgment and ability to anticipate needs and prioritize tasks.
• Comfortable handling confidential information.
• Experience with Google Workspace, Asana, Zoom, and Slack.
• Comfortable working in a remote, async-first environment.

Nice to Have:

• Experience in a marketing, creative, or agency environment.
• Familiarity with nonprofits or the social impact space.
• Experience with CRM or business development support.
• Experience using Claude, Gemini, or similar AI tools.

Benefits:

• Salary: $1,500 USD/month
• Full-Time Position: Monday–Friday
• Schedule: 8:00 AM–5:00 PM PST
