Role Overview: Join a well-established Australian company that delivers high volumes of repair, maintenance, and replacement projects across Sydney. As our Commercial Coordinator, you will play a critical role in ensuring the smooth commercial administration of hundreds of jobs each month, from quotation through to final invoicing.
This is a business-critical position created as part of a broader operational restructure. You'll be responsible for managing the commercial lifecycle of multiple jobs simultaneously, ensuring accuracy, efficiency, and exceptional attention to detail. This role is ideal for someone who thrives in a fast-paced trade or service environment and enjoys balancing competing priorities while maintaining high standards of quality and customer service.
Key Responsibilities:
- Manage the complete commercial administration process from quotation to final invoicing.
- Prepare accurate customer quotations and ensure timely submission.
- Obtain and manage supplier pricing and prepare purchase orders.
- Process project variations, progress claims, and final invoices.
- Monitor job progress to ensure all commercial documentation is accurate and up to date.
- Coordinate with internal teams, suppliers, and stakeholders to ensure jobs move efficiently through each stage.
- Maintain accurate records and documentation across multiple active projects.
- Prioritize and manage hundreds of concurrent repair, maintenance, and replacement jobs while meeting tight deadlines.
- Identify and resolve commercial administration issues before they impact project delivery.
- Continuously improve administrative processes to support operational efficiency.
- Ensure compliance with company procedures and commercial standards.
- Provide exceptional administrative support to the operations team while maintaining a high level of accuracy.
Requirements
Required Skills and Qualifications:
- Proven experience managing the commercial administration of a high volume of small to medium-sized jobs within an Australian trade, construction, maintenance, or service-based business.
- Demonstrated experience handling quotations, supplier pricing, purchase orders, variations, progress claims, and invoicing.
- Strong understanding of commercial workflows from job initiation through project completion.
- Exceptional organizational and time management skills with the ability to manage multiple priorities simultaneously.
- Outstanding attention to detail and commitment to accuracy.
- Ability to work efficiently under pressure in a fast-paced environment with changing priorities.
- Strong communication skills with the confidence to liaise professionally with suppliers, customers, and internal stakeholders.
- Highly proactive with excellent problem-solving abilities.
- Proficient in Microsoft Office, particularly Excel, and experienced using job management, ERP, CRM, or project management systems.
- Experience working with Australian businesses or Australian commercial processes is highly preferred.
- Background in high-volume service, maintenance, trades, facilities management, or construction administration is strongly preferred.
