The Budget Analyst role at Headlands Research offers an opportunity to transition from clinical site-level experience into a corporate-facing position focused on the financial and operational side of clinical trials. This role involves ensuring study budgets are accurately configured, payment terms are understood, and teams have the information needed for successful study execution.
You’ll work at the intersection of Clinical Operations, Finance, Contracts, Accounts Receivable, and clinical technology, bridging the gap between study execution and financial management.
Key responsibilities include interpreting clinical trial agreements (CTAs) and budget terms, translating them into CRIO (Headlands’ clinical trial management system), and ensuring timely revenue recognition, sponsor invoicing, and accounts receivable collection.
You’ll also act as a key liaison between the Budget & Contract team, Clinical Applications/CRIO team, and Accounts Receivable team, fostering collaboration across Finance and Operations.
Responsibilities:
- Develop and maintain expertise in Headlands’ CTMS/clinical applications platform, CRIO, including its financial modules.
- Partner with the Budget & Contract team to interpret clinical trial budget and payment terms.
- Identify potential collection challenges and propose mitigation strategies.
- Accurately input clinical trial budgets and payment terms into CRIO.
- Collaborate with eSource Architects to assess financial considerations during new study development.
- Proactively manage study budgets throughout the study lifecycle.
- Participate in internal study kick-off meetings, guiding sites and the Accounts Receivable team on CTMS configurations.
- Develop processes to improve communication between sites and Accounts Receivable, ensuring timely sponsor invoicing.
- Serve as the primary point of contact for the CRIO stipend module.
- Manage configuration requests and oversee the CRIO Finance inbox.
- Troubleshoot issues, track enhancements, and monitor vendor invoices.
- Build cross-functional relationships across Finance, Clinical Operations, and corporate teams.
Requirements:
- A Bachelor’s Degree is required.
- Experience in or exposure to clinical research budgets is required.
- Experience using a Clinical Trial Management System (CTMS) is required; familiarity with CRIO is a plus.
- Strong written and verbal communication skills.
- Exceptional attention to detail and commitment to accuracy.
- The ability to read, interpret, and understand contract payment terms.
- Proficiency with Microsoft products, including Excel and Outlook.
