An overview of this role

The AI Operations Specialist keeps the field organization's AI tooling running smoothly day to day. You will maintain a clear inventory of AI tools in use across the field, manage an index of use cases and field needs, track adoption and utilization, manage access requests, and keep the underlying data feeding these tools clean and well-organized. This is a detail-oriented, execution-focused role for someone who enjoys bringing order to a fast-moving tool landscape and wants to build a foundation in AI operations.

This role reports to the Vice President, Enablement & AI.

What You’ll Do

  • Tool Inventory & Consolidation: Maintain an up-to-date inventory of all AI tools used across the field org, identify overlap or redundancy, and support consolidation efforts to reduce tool sprawl.
  • Tool Adoption & Use Case Index: Formalize a library of field-adopted and -requested use cases for our AI tools, in coordination with the AI Transformation Owner, CRO.
  • Utilization & Tracking: Monitor usage of AI tools across teams, build simple reporting to track adoption trends, and flag underutilized or underperforming tools to stakeholders.
  • Comms & Enablement: draft internal announcements for tool rollouts and create micro-enablement programs to engage the field in AI tools.
  • Tool Access Requests/Management: Own the intake and processing of access requests for AI tools, ensuring provisioning is timely, accurate, and aligned with licensing and approval requirements.
  • AI Data Management: Support the organization, quality, and hygiene of data used by or generated from AI tools, working with relevant teams to keep gDrive/datasets accurate and properly maintained.

What You’ll Bring

  • Early-Mid Level Experience: Some experience in enablement, sales/business operations, IT operations, or a similar coordination-heavy function; comfortable owning recurring operational processes.
  • Organized & Detail-Oriented: Strong attention to detail with the ability to track multiple tools, requests, and datasets simultaneously without things falling through the cracks.
  • Interest in AI Tooling: Genuine curiosity about AI tools and platforms, with willingness to learn the technical basics of how they're configured, accessed, and maintained. Act as an advocate for AI Adoption and best practices in the field.
  • Process-Minded: Comfortable following and improving structured processes (intake forms, access workflows, tracking dashboards) rather than needing to build strategy from scratch.
  • Collaborative: Able to work with enablement, IT, and field stakeholders to gather requirements and resolve access or data issues efficiently.
  • Data Comfort: Basic comfort working with spreadsheets, dashboards, or simple data tools to track utilization and maintain data quality.
  • GitLab Values Alignment: Ability to work in an all-remote, asynchronous environment, leaning heavily on transparency and collaboration as defined in the GitLab Handbook.

About the team

The enablement organization comprises enablement leads serving the CRO business functions, a centralized content group, AI tech resources, and an operations team.
