The Senior Coordinator, Talent Operations is responsible for executing activities in support of Talent and Performance Programs and operational infrastructure that keep our highest-priorities moving. This is a hands-on execution role that turns strategy into action — scheduling critical meetings on complex calendars, publishing program updates, building training materials and change management content, coordinating project intake logistics, and improving our infrastructure so senior leaders can stay focused on strategy and stakeholder management.
The position reports to the Senior Director, Talent and Performance. This role is remote, requires working hours in the Eastern Time Zone, and may require periodic travel to Voyager sites for key events and milestones.
Essential Functions:
- Own end-to-end execution and prioritization of high-volume scheduling — interviews, on-site visits, and panel coordination across time zones — resolving conflicts and communicating updates proactively for a seamless candidate and interviewer experience.
- Partner with HR, hiring teams, and recruiters to prepare accurate, timely offer letters and to share process best practices that drive efficiency without compromising candidate experience.
- Maintain accurate, current records in the ATS and update all HR systems in real time to established SLAs; initiate and track background checks and drug screens to completion, and support new-hire onboarding as needed.
- Triage sensitive issues, escalate when warranted, and engage the right partners to inform decisions.
- Coordinate recruiting events, career fairs, and information sessions.
- Build and maintain change-management content for Talent program rollouts — training materials, self-service guides, process documentation, and SOPs — coordinating with IT, HR, and MarCom to keep messaging consistent, on-brand, and on time; publish updates via Teams and Slack and train Talent and Performance members to Voyager brand standards.
- Own project workstreams end-to-end (e.g., Talent policy updates) with accountability for timeline, content, and communication, and provide surge capacity across Talent programs during peak demand, leave coverage, or transitions to sustain continuity.
- Support integration for acquisitions and entity onboarding where Talent is engaged — communications, vendor-led ATS training, internal customer care, and requisition creation and approval.
Basic Qualifications:
- Bachelor’s degree or equivalent education and/or experience
- 10+ years of experience as a recruiting coordinator including proven experience managing complex projects, scheduling and calendars
- Demonstrated experience creating employee-facing communications, training content, or process documentation in a professional setting, with strong written communication skills and a clear, accessible style.
- Experience supporting project or program management activities, including tracking action items, maintaining documentation, and coordinating across multiple stakeholders simultaneously.
- Proficiency with multiple HRIS and ATS systems.
- Demonstrated ability to communicate both written and verbally with high accuracy across business units.
- Strong organizational skills and the ability to manage multiple workstreams and deadlines independently.
- Comfort operating in a fast-paced, ambiguous environment where priorities shift and resourcefulness is expected.
- Demonstrated ability to work cross-functionally and build effective relationships with stakeholders at varying levels of seniority.
Preferred Qualifications:
- Experience supporting enterprise transformation, strategic planning, or large-scale change management programs.
- Experience with Greenhouse and Workday.
Travel Requirements:
- This role is primarily remote. Periodic travel to Voyager sites (Long Beach, CA and other locations) is expected for key program milestones, kickoff events, and team meetings — estimated at up to 10%, including the possibility of overnights.
