Position Overview

We are seeking a highly meticulous and accountable Traffic and Compliance Manager to act as the keeper of time, project tracking, and regulatory governance. With a distributed remote marketing team, you will ensure deliverables are never delayed, schedules are strictly maintained, and every published asset is correct, on-brand, and fully compliant. Success in this role is measured by keeping everyday priorities moving without wasted days, holding the team accountable for their hours, and guaranteeing that every piece of shipped content meets rigorous quality and compliance standards.

Key Responsibilities

  • Traffic Flow & Status Governance: Own the Dailies/status tracker to ensure every project stays visible and moving. Route briefs, assets, and approvals between the EVP, pods, and vendors, setting daily and weekly priorities to protect deadlines before they slip.
  • Ultimate Quality Assurance: Be the second set of eyes so nothing ships with an error. Receive end-to-end tests of every email/SMS, verify UTMs across all links and ads against the taxonomy, proof spelling/grammar, and QA every form, routing, and user experience before go-live.
  • Regulatory Approval Stewardship: Ensure fund communication artifacts are rigorously reviewed by legal. Enforce the creative gate (EVP sign-off), steward each piece through the full chain (writer → principals → reviewer → board), and maintain one canonical, version-proofed source of truth for offering documents.
  • Publishing & Version Control: Own the last mile by pushing approved assets live in the publishing stack (Notable, Planable, HubSpot or equivalent) and enforcing strict version control so older variants are archived.
  • Team Accountability & Cadence: Hold the distributed (LatAm) marketing team accountable for hours and output. Run timesheets, shadow key calls, reconcile traffic calendars, identify early blockers, and manage event pre-flight operations.
  • Standard Documentation & Tracking: Take over the creation, tracking, and auditing of UTM parameters across all paid channels, and systematically document QA/compliance standards so quality survives turnover.

Required Skills & Qualifications

  • 6+ years of professional experience in marketing traffic/project coordination or QA/compliance operations, ideally agency-side, with a track record of shipping error-free on deadline.
  • Compliance Instinct: Proven experience reading content against a fixed standard in a regulated category (e.g., SEC/securities, financial services, healthcare, legal) and treating the approval chain as sacred.
  • Obsessive Proofer: Near-native written English grammar and proofreading skills. You test the full chain before anything ships and catch what others miss.
  • Systems & AI Builder: Capability to build QA, compliance, and version-control workflows utilizing AI tools (not just prompt-dabbling) to test copy against fund operations documents for consistency.
  • Stack Fluency: Deep expertise in a publishing/approval and traffic stack (Notable / Planable / HubSpot / Asana or equivalent) and strict UTM-taxonomy discipline.
  • Operational Autonomy: Self-sufficient operator with an owner's mindset—low-ego, whatever-it-takes approach, and proactive communication to hold a distributed team accountable.
  • Travel Readiness: Must possess a valid passport and be able to travel to the US up to 4× per year for ~one week (including an initial trip Aug 17–21).
  • A highly reliable remote office setup.

Preferred Strategic Indicators (Nice to Have)

  • Direct experience with SEC / Reg D / securities or financial-services compliance marketing, specifically regarding disclosure management and legal sign-off chains. (This is highly valuable).
  • Prior experience running your own agency or leading traffic/PM in a high-volume creative shop.
  • Proven track record holding distributed/offshore teams accountable on a daily cadence.
  • Hands-on technical familiarity specifying or building AI-assisted QA systems and creating a "single source of truth" brand-asset governance system.
  • A settled, even-keeled temperament—calm under deadline pressure with a low-drama approach.
