About the job

Vynca is looking for a detail-oriented and organized People Operations Coordinator to support the day-to-day operations of our HR and Talent teams. This role is central to keeping our hiring process running smoothly and ensuring our people-related administrative processes are handled accurately, promptly, and with discretion. The ideal candidate is a proactive communicator who thrives on coordination, enjoys problem-solving, and is comfortable juggling multiple priorities in a fast-paced environment.

At this time we are only considering applicants in the following states: Arizona, California, Colorado, Florida, Georgia, Illinois, Nevada, North Carolina, Oregon, Texas, and Washington, with a preference for applicants based in Pacific Time or Central Time. Local to Los Angeles, CA or Austin, TX, a plus.

What you’ll do

  • Schedule interviews across multiple time zones and calendars, coordinating with candidates, hiring managers, and interview panels.

  • Send timely follow-ups to candidates, interviewers, and hiring managers to keep the hiring process moving.

  • Track interview stages and proactively flag delays or scheduling conflicts.

  • Assist with posting job requisitions across job boards, careers pages. Updating and closing them as roles are filled or requisitions change.

  • Conduct reference checks for candidates in final stages of the hiring process, including verifying the authenticity and legitimacy of references.

  • Assist with initiating, tracking, and reviewing background check requests through third-party vendors, escalating discrepancies or red flags as needed.

  • Manage and triage the shared People Operations inbox, responding to routine inquiries and routing complex issues to the appropriate team member.

  • Assist with leave management administrative tasks, including tracking requests, updating records, and following up on documentation as needed.

  • Contact tax agencies as needed to resolve payroll or tax-related administrative matters (e.g., account setup, notices, filings).

  • Respond to initial unemployment, state forms, and any other third-party or state agency requests.

  • Handle new hire onboarding, background checks verifications, licensure support, I9 administration, and new hire orientation calls.

  • Administer HR/People Ops platforms including HRIS, employee recognition platform, and internal team site upkeep.

  • Support other ad hoc People Operations projects and administrative tasks as assigned.

Your experience and qualifications

  • 1–3 years of experience in HR, People Operations, recruiting coordination, or a related administrative role. Within a healthcare organization, a plus.

  • Strong organizational skills with the ability to manage multiple schedules and priorities simultaneously.

  • Excellent written and verbal communication skills.

  • A high degree of discretion and judgment when handling confidential information.

  • Comfortable making outbound calls to third parties (e.g., references, tax agencies, vendors).

  • Proficiency with common HR/ATS tools. Experience with Ashby and Rippling, a plus.

  • Strong attention to detail and follow-through.

  • Ability to work independently while knowing when to escalate issues.
