We are looking for a highly proactive and results-oriented Executive Assistant to the CEO to provide high-level executive, administrative, and operational support in a fast-paced, fully remote environment.
This role is designed for someone who can operate with significant autonomy, anticipate needs, eliminate administrative friction, and turn ambiguity into clear actions and outcomes. The ideal candidate will not simply manage tasks but proactively identify opportunities to improve how the CEO and organization operate.
Key Responsibilities
- Proactively manage the CEO's calendar, inbox, priorities, communications, and follow-ups.
- Reduce administrative workload by identifying tasks that can be independently handled, delegated, or pre-processed.
- Anticipate issues, deadlines, and decisions before they require CEO attention.
- Prepare clear summaries, recommendations, proposals, and decision-ready communications.
- Track important commitments, action items, deadlines, and follow-ups to ensure nothing falls through the cracks.
- Convert undocumented tribal knowledge and recurring processes into clear, executable SOPs.
- Review existing processes and identify opportunities to improve efficiency, reduce friction, and eliminate unnecessary work.
- Configure and optimize tools such as Zoho, Google Workspace, Slack, Google Sheets, and task-management platforms.
- Support weekly, six-month, and longer-term OKR planning and organizational priorities as the role develops.
- Assist with maintaining organizational structures, priorities, timelines, and resource requirements.
- Coordinate with teams across the organization and ensure information and actions move forward efficiently.
- Support the CEO with research, analysis, documentation, and operational problem-solving.
- Identify gaps, bottlenecks, and risks and proactively recommend solutions.
- Maintain high standards of accuracy, documentation, organization, and communication.
- Take ownership of ad hoc operational and administrative initiatives as business needs evolve.
What Makes You a Great Fit
- 1–2+ years of experience in executive assistance, administrative support, operations, or a similar role.
- Demonstrated ability to work independently with minimal supervision and high ownership.
- Strong ability to prioritize ruthlessly and focus on outcomes rather than activities.
- Excellent written and verbal English communication skills, including strong grammar and editing ability.
- Exceptional attention to detail with the ability to identify errors, inconsistencies, and missing information.
- Strong organizational and time-management skills with the ability to manage multiple priorities simultaneously.
- Highly proactive mindset with the ability to anticipate needs and solve problems before escalation.
- Strong technical proficiency and willingness to configure and optimize business tools rather than simply use them.
- Experience with Zoho, Google Workspace, Google Sheets, Slack, admin platforms, and task-management tools is preferred.
- Strong process-thinking skills with an ability to document workflows and create practical SOPs.
- Comfortable working with ambiguity, taking initiative, and making informed decisions independently.
- Strong analytical and problem-solving capabilities with a practical, solution-oriented approach.
- Comfortable giving and receiving direct feedback and operating in a transparent, high-accountability environment.
- Ability to collaborate effectively across teams while maintaining confidentiality and professionalism.
- Demonstrated reliability, integrity, empathy, and commitment to delivering high-quality work.
