Role Summary

We are seeking a highly organized, proactive, and analytical Event Coordinator to own and execute a diverse roadmap of corporate events. In this role, you will lead the logistical lifecycle for internal technology trainings, executive leadership showcases, cross-functional team workshops, and company-wide expos. This position demands exceptional stakeholder management mechanics, structured budgeting agility, and an uncompromising ability to deliver premium participant experiences under tight startup timelines.

Key Responsibilities

  • End-to-End Event Management: Plan, scope, and execute corporate events ranging from focused tech team deep-dives to large-scale internal organizational expos and leadership summits.
  • Logistics & Sourcing Coordination: Oversee global venue selection frameworks, operational staging setup parameters, catering management, and complex equipment logistics.
  • Stakeholder Alignment: Partner tightly alongside founding teams, executive leadership units, external vendor networks, and internal support divisions to facilitate flawless communication trails.
  • Communications & Registration: Own the participant funnel including automated invitation deployments, digital registration platforms tracking, attendee coordination, and post-event follow-ups.
  • Budget Optimization: Own and monitor event-specific budgets, running strategic multi-tier vendor negotiations to achieve optimal cost-efficiencies without sacrificing experiential quality.
  • Real-Time Problem Solving: Supervise on-site execution flows and remain highly calm under pressure to systematically troubleshoot real-time operational or logistical challenges.
  • Data Analysis & Feedback: Compile comprehensive post-event analytical reports, sorting qualitative participant feedback and structural KPIs to propose future process improvements.

Required Skills & Qualifications

  • Proven track record of success operating in a corporate event coordination, project management, or operations-driven role executing large-scale events.
  • Strong vendor management mechanics with demonstrated negotiation skills to optimize service budgets.
  • Ability to govern multiple complex stakeholder timelines, resource dependencies, and organizational priorities concurrently.
  • Excellent interpersonal mechanics and clear written and verbal communication skills.
  • Highly detail-oriented, structured, and proactive approach to problem-solving within fluid startup settings.
  • Proficiency navigating digital logistics platforms, tracking spreadsheets, and registration databases independently.
  • Location Scope: 100% remote working eligibility tailored for qualified professionals operating from India.

Preferred Qualifications (Nice to Have)

  • An MBA degree is preferred; an MBA from a Tier-1 institution (IIM) is considered an outstanding added advantage.
