Position Overview
We are seeking a highly detailed, autonomous, and data-driven Data Entry Specialist to join our core operations team under a permanent, full-time offshore contract layout open across Metro Manila, Philippines. In this essential operational support seat, you will claim absolute ownership over accurately inputting, verifying, and maintaining critical data metrics across company databases, tracking logs, and complex spreadsheets. Moving far beyond casual non-regulated data transcription loops, you will act as the principal gatekeeper of data hygiene and process consistency, ensuring error-free records across our business systems. This role requires an administrative or information-management specialist with 3+ years of progressive history who manipulates datasets fluidly natively using Data Entry and spreadsheet primitives, commands advanced proficiency in Microsoft Excel formulas and macros, and works with extreme focus during fixed shifts synchronized entirely to US Eastern Standard Time (EST).
Key Responsibilities
- Core Information Input and Governance: Accurately capture, input, and update operational data points into corporate databases, tracking frameworks, and internal systems natively utilizing Data Entry and data integrity best practices.
- Advanced Spreadsheet Automation: Build, manage, and scale sophisticated Microsoft Excel files using automated mathematical formulas, pivot tables, data validation bounds, and custom macros to optimize processing speeds.
- Data Quality Auditing and Triage: Audit and cross-verify transactional information fields systematically to proactively capture errors, flag anomalies, and fix tracking contradictions.
- Digital Records Customization: Structure, index, and organize digital and physical archive systems in strict compliance with corporate security rules and operational protocols.
- Reporting and Metric Extraction: Pull and compile structured routine and ad hoc reports from extensive active datasets for internal stakeholder review panels.
- Cross-Functional Timeline Alignment: Coordinate next to distributed ops team members to ensure all operational data submissions are executed on time and securely.
- Confidentiality Maintenance Control: Enforce strict data-privacy boundaries, keeping corporate transaction records and sensitive user properties perfectly secured at all times.
Required Skills & Qualifications
- A minimum of 3+ years of proven, successful professional history operating within a Data Entry Specialist, Virtual Assistant, Operations Coordinator, Administrative Support Lead, or closely matching tech-enabled information management capacity.
- Expert Microsoft Excel Command: Complete, verifiable operational mastery navigating advanced spreadsheet tools—explicitly including pivot tables, VLOOKUP/XLOOKUP parameters, conditional formatting, and functional macros.
- Exceptional keyboard navigation skills with a proven typing velocity of at least 50 WPM combined with a zero-defect accuracy track record.
- Outstanding attention to detail and a strict personal commitment to data integrity, tracking accuracy, and operational confidentiality.
- Outstanding written and verbal communication strengths in English, with an capability to collaborate efficiently across globally distributed technical groups.
- Shift & Alignment Context: Position operates under clear offshore guidelines requiring uncompromised availability during a fixed operational window from 8:00 AM to 5:00 PM US Eastern Standard Time (EST).
- Location Context: Position operates under remote guidelines open exclusively to qualified administrative and operations specialists residing permanently within Metro Manila, Philippines.

- Prior platform or functional database background operating directly inside commercial real estate investment tracking systems, property management databases, or enterprise CRM architectures (such as Salesforce, NetSuite).
