Position Overview

We are seeking a highly detail-oriented, systematic, and process-driven Billing and Operations Specialist to join our global finance division under a permanent, full-time remote arrangement open exclusively to candidates based in the Philippines. In this crucial operational seat, you will take daily transactional ownership of our high-volume invoicing pipelines, purchase order management, and subscription tracking workflows. Shifting completely away from routine social media text writing, client-facing visual graphic design, or basic call center helpdesk ticketing, you will run an active accounts receivable, reconciliation, and ledger compliance laboratory—partnering cross-functionally with our distributed invoicing and logistics fulfillment teams. This position requires an operational professional who balances corporate financial books fluidly natively using Bookkeeping practices, evaluates the validity of billing details cleanly, monitors performance tracking matrices systematically, and organizes week-end or month-end closing data confidently under tight US Eastern Time Zone operating windows.

Key Responsibilities

  • Core Invoicing & Transaction Governance: Oversee, generate, and track recurring and ad hoc client invoices, processing complex subscription billing variables accurately natively utilizing Bookkeeping standards.
  • Verification & Reconciliation Auditing: Verify multi-tiered billing parameters—confirming the absolute accuracy, data completeness, and validity of downstream client billing records to eliminate financial discrepancies.
  • Purchase Order Lifecycle Management: Formulate, authorize, log, and track enterprise purchase orders across multiple business branches, documenting data details cleanly.
  • Subscription Account Transfers: Support account acquisition pipelines and contract renewal management, orchestrating billing transfers fluidly across customer profiles during business modernizations.
  • Financial Reporting & Telemetry Tracking: Compile and publish weekly performance metrics and daily financial tracking records to grant real-time cash flow visibility to internal managers.
  • Month-End Closure Support: Support comprehensive month-end closing activities, driving system reconciliation updates across physical store locations to maintain a strict source of financial truth.
  • Cross-Functional Logistics Collaboration: Partner closely with internal Invoicing, Account Management, and Fulfillment operations cells to identify and eliminate manual billing bottlenecks.

Required Skills & Qualifications

  • Proven professional history operating within a billing coordination, finance operations, corporate accounting support, or related financial administrative role.
  • Mandatory Operational Coverage: Absolute availability and dedicated workspace readiness to work full-time (40 hours per week) aligned synchronously with US Business Hours (US Eastern Time Zone).
  • Hands-on familiarity with digital invoicing software, purchase order documentation, and multi-system financial data reconciliation.
  • Highly detail-oriented structural mindset with exceptional organizational, time management, and remote-first self-governance traits.
  • Excellent written and verbal communication strengths in English, with a strong problem-solving mindset to tackle complex ledger discrepancies independently.
  • Location Context: Position operates under remote geographic guidelines open exclusively to qualified financial professionals residing permanently inside the Philippines.

Preferred Strategic Indicators (Nice to Have)

  • Direct, hands-on administrative experience leveraging QuickBooks Online (QBO) or equivalent cloud-native accounting platforms.
  • Prior background navigating inventory management systems, multi-warehouse logistics trackers, or automated e-commerce operational tools.
  • Experience operating within a fast-paced, high-growth tech startup environment or multi-tenant retail operations setting.
