The Opportunity
The Admissions Specialist serves as one of the first human connections prospective students have with UHP.
This role is responsible for quickly engaging new leads, scheduling qualified admissions interviews, recovering missed appointments, and keeping Admissions Advisor calendars organized and productive.
You will connect with prospective students through phone, text, email, and voicemail while providing a professional and mission-driven introduction to UHP. Your work allows Admissions Advisors to remain focused on conducting meaningful interviews and helping qualified students identify the right program pathway.
This is a fast-moving, outbound-focused opportunity for someone who communicates confidently, follows through consistently, and understands that every conversation may represent an important turning point in someone’s life.
Key Responsibilities
Lead Engagement and Appointment Scheduling
- Respond quickly to new inquiries and prospective student leads.
- Conduct consistent outbound outreach through phone, text, email, and voicemail.
- Schedule qualified prospects directly onto Admissions Advisor calendars.
- Maintain structured follow-up with prospects who have not yet scheduled.
- Clearly explain what prospects should expect during the admissions interview process.
- Create a positive and professional first experience with UHP.
Calendar Coordination
- Help maintain full, organized, and productive Admissions Advisor calendars.
- Coordinate same-day rescheduling and fill openings created by cancellations.
- Reassign appointments when appropriate to support team availability.
- Identify and resolve scheduling conflicts before they affect prospective students or Advisors.
- Support a clean and predictable interview-booking process.
Lead Recovery and Re-Engagement
- Follow up promptly with prospects who miss or cancel appointments.
- Reconnect with previous leads and individuals who may still be interested in UHP programs.
- Complete assigned outreach campaigns, task queues, and follow-up sequences.
- Use professional persistence while respecting prospect communication preferences.
- Identify re-engagement opportunities and move interested prospects toward an admissions interview.
Prospect Qualification and First-Touch Support
- Provide a professional introduction to UHP’s mission, programs, standards, and expectations.
- Ask introductory qualification questions to determine whether an admissions interview is appropriate.
- Set clear expectations regarding the admissions process and next steps.
- Listen carefully and communicate with empathy, confidence, and professionalism.
- Escalate complex questions regarding programs, eligibility, benefits, or funding to the appropriate team member.
CRM and Process Management
- Document outreach activity, call outcomes, notes, and next steps in HubSpot.
- Keep prospect records, statuses, and assigned tasks current.
- Follow established workflows, communication guidelines, and data-entry standards.
- Prevent duplicate records and maintain accurate prospect information.
- Communicate emerging lead trends, scheduling challenges, and process concerns to Admissions leadership.
- Maintain organized and reliable records that allow the Admissions team to serve prospects effectively.
Qualifications
- One or more years of experience in sales, recruiting, admissions, customer outreach, appointment setting, call-center operations, or a related field.
- Comfortable making frequent outbound calls and following structured outreach processes.
- Strong verbal and written communication skills.
- Ability to communicate confidently, professionally, and with empathy.
- Highly responsive and able to prioritize new inquiries quickly.
- Organized and disciplined with calendars, tasks, follow-up, and documentation.
- Comfortable working in a performance-focused and rapidly changing environment.
- Coachable, adaptable, and receptive to feedback.
- Basic understanding of military and veteran culture or a willingness to learn.
- Ability to work independently while remaining connected and accountable to a remote or distributed team.
Preferred Qualifications
- Experience using HubSpot or a similar customer relationship management platform.
- Experience in education, admissions, recruiting, appointment setting, inside sales, or customer engagement.
- Experience working with service members, veterans, military families, or transitioning professionals.
- Experience managing high-volume outreach and appointment scheduling.
- Interest in developing into an Admissions Advisor or broader admissions leadership role.
Schedule and Work Environment
This is a full-time position that may be based in Bentonville, Arkansas, or performed remotely. Remote team members should be prepared to participate in periodic travel to Northwest Arkansas, with semiannual visits to the UHP campus preferred.
The position generally operates during standard business hours, but occasional evening or weekend availability may be required to accommodate prospective students.
