Position Summary:

The Hospice Volunteer Coordinator is responsible for developing, implementing, and maintaining a comprehensive volunteer service program that supports hospice patients, families, and the interdisciplinary group. This role recruits, screens, trains, places, supervises, appreciates, and retains hospice volunteers; ensures proper documentation and compliance; and collaborates with the interdisciplinary team to match volunteers to appropriate assignments. The Coordinator ensures that volunteer services are integrated into the plan of care when indicated and that the hospice meets or exceeds Medicare requirements for volunteer involvement.

Key Responsibilities:

  • Develop and implement a comprehensive volunteer recruitment program to attract qualified individuals who align with our organization's values and mission.
  • Maintain an effective volunteer training and orientation program, ensuring timely onboarding, orientation, competency validation, and ongoing training of volunteers.
  • Ensure compliance with Medicare Conditions of Participation, state regulations, and accreditation standards for volunteer programs.
  • Assign volunteers to appropriate roles and responsibilities, ensuring alignment with their skills, interests, and availability. If the assignment involves working with patients, review the Volunteer Plan of Care with volunteers prior to patient visits.
  • Maintain accurate and up-to-date volunteer personnel files, including background checks, certifications, and contact information.
  • Attend Interdisciplinary Group (IDG) meetings to collaborate with other team members and ensure effective communication and coordination of volunteer activities.
  • Actively participate in Quality Assessment and Performance Improvement (QAPI) activities to enhance the volunteer program's effectiveness and address any areas for improvement.
  • Track and maintain monthly statistics related to the volunteer program, providing regular reports to the Director of Nursing and other relevant stakeholders.
  • Establish and maintain clear lines of communication with volunteers, keeping them informed about IDG meetings, in-service and training opportunities, and any changes in patient status that may affect their visits.
  • Perform physical activities such as walking, sitting, stooping, and standing as necessary to carry out job responsibilities.
  • Utilize various office equipment, including computers, multi-line telephones, and copy machines, to perform administrative tasks efficiently.

Supervisory Responsibilities:

  • Provide supervision to volunteers, including conducting periodic supervisory visits to offer support, guidance, and feedback.
  • Conduct volunteer performance evaluations in accordance with established policies and procedures.
  • Ensure that volunteers complete and submit time sheets and visit notes as per policy.
  • Review volunteer visit notes to ensure adherence to the patient's care plan.

Qualifications:

  • Minimum of one (1) year of experience in a healthcare setting, with preference given to candidates with hospice or volunteer experience.
  • Familiarity with Medicare Hospice Conditions of Participation.
  • Excellent verbal and written communication skills, with the ability to effectively interact with volunteers, staff, and external stakeholders.
  • Experience with training/facilitation and public speaking
  • Strong organizational skills and attention to detail.
  • Ability to work independently, prioritize tasks, and manage time effectively.
  • Commitment to self-development through continuous learning, such as formal education, workshops, conferences, professional meetings, and personal research.
