Position Overview
We are seeking a highly analytical, process-driven Tax Operations Specialist to serve as Miter’s internal payroll tax domain expert. In this high-stakes capacity, you will own the end-to-end resolution of complex multi-jurisdictional tax support structures, untangling messy historical data layers into calm resolutions for our customers. Partnering across Support, Launch, and Product squads alongside our embedded processing partners at Check, you will manage reactive tax notices, coordinate proactive risk profiling during customer onboarding, and construct the operational playbooks that scale systematic compliance metrics across our expanding enterprise base.
Key Responsibilities
- Internal Payroll Tax Subject Matter Expert: Serve as the absolute go-to authority for federal, state, and local payroll tax regulations, continuously tracking regulatory changes, agency nuances, and Check product rules.
- Reactive Issue Management: Diagnose, resolve, and close complex tax tickets including agency penalty notices, blocked filings, structural W-2/year-end balance errors, and high-level debit exceptions.
- Proactive Risk & Setup Reviews: Execute deep data audits for high-risk customer onboarding files, managing historical payroll reconciliations, tax profile checks (Agency IDs, POA/TPA access loops), and First Quarter Filing readiness configurations.
- FinTech System Data Analysis: Leverage spreadsheet frameworks to engineer, compile, and interpret sophisticated multi-jurisdictional balancing ledger reports from scratch.
- Playbook Scaling & Automation: Author technical enablement documentation, operational training manuals, and clear workflows for Sales, Support, and Launch teams to turn recurring tax anomalies into automated application logic.
- Customer De-escalation & Advocacy: Interface directly with customer financial leaders and stressed CFOs via detailed, clear written communications and live advisory calls to guide them through high-risk compliance resolutions.
Required Skills & Qualifications
- 3+ years (Mid-level) or 5+ years (Senior-level) of professional hands-on payroll tax operations history operating within a dedicated payroll engine provider, payroll SaaS tech stack, or professional employer organization (PEO).
- Proven, end-to-end background tracking, researching, and successfully resolving agency compliance notices across multiple federal, state, and local jurisdictions.
- Advanced operational spreadsheet capabilities, including fluent manipulation of complex pivot tables, lookup arrays, and gross-to-net tax reconciliation models.
- Deep working fluency navigating regulatory tax mechanisms: Power of Attorney (POA/TPA) onboarding steps, “Applied For” status management, state unemployment insurance (SUI) frequencies, wage base limits, and Form 941/940 analytics.
- Direct experience interfacing with major modern payroll infrastructure platforms or API engines (such as Check, Gusto, Rippling, ADP, or Paychex).
- Outstanding written communication mechanics and de-escalation skills, with a native ability to distill chaotic financial histories into clear, calm, and actionable technical next steps.
- Location Context: 100% remote work infrastructure flexibility open to qualified payroll tax professionals residing anywhere within the United States (with traveling touchpoints for company off-sites).
