Recruitment Associate - PH

We’re looking for a highly organized, detail-oriented Recruiting Associate to own the operational engine of our recruiting function.

This is a junior-level, execution-focused role. You will own nearly every moving piece that keeps our recruiting pipelines organized, responsive, and professional.

You’ll work closely with hiring managers and the People team to ensure candidates move smoothly through the process and that every open role is run with structure and consistency.

This is a role for someone who loves coordination, systems, and follow-through — and wants to build a long-term career in recruiting or People.

This role requires consistent availability during core U.S. Eastern Time working hours. Candidates must be able to work approximately 9:00 AM – 5:00 PM ET to ensure real-time coordination with hiring managers and candidates.

What you’ll do

  • Own interview scheduling & coordination
  • Schedule and reschedule interviews across multiple stakeholders and time zones
  • Coordinate interview panels, kickoff meetings, and debrief sessions
  • Manage last-minute changes with speed and professionalism
  • Ensure candidates receive clear, timely communication
  • Manage pipeline operations in Ashby
  • Move candidates through stages in the ATS
  • Maintain clean, accurate pipeline data
  • Send rejection emails promptly and professionally
  • Ensure scorecards and feedback are submitted on time
  • Keep hiring managers accountable to process timelines
  • Open and manage job pipelines
  • Create new job pipelines in Ashby
  • Build structured interview plans and stages
  • Maintain consistency in process setup across roles
  • Support hiring managers with basic process questions

Offer & hiring execution

  • Draft and issue offer letters (using approved templates)
  • Coordinate offer approvals and documentation
  • Track signed offers and ensure proper filing
  • Draft contractor agreements (as applicable)
  • File onboarding tickets and ensure smooth handoff to People Ops
  • Coordinate start dates and pre-start communication
  • Support onboarding coordination
  • Ensure new hires receive clear communication prior to start
  • Track onboarding task completion
  • Schedule kickoff meetings and 30/60/90-day check-ins

Grow into screening & candidate interaction

As you demonstrate strong judgment and process ownership, this role may grow to include:

  • Resume pre-screening for entry-level roles
  • Conducting initial screening calls
  • Partnering with hiring managers on early-stage candidate evaluation

What we’re looking for

  • 1–2 years of administrative, recruiting coordination, or operations experience (or strong internship/early-career exposure)
  • Exceptional organizational skills
  • High attention to detail
  • Strong written communication skills
  • Comfort managing repetitive but critical tasks with consistency
  • Experience working in ATS systems (Ashby preferred but not required)
  • Ability to manage multiple open roles and competing priorities
