Position Overview

We are seeking a highly organized and candidate-focused Recruiting Coordinator to join our Talent Acquisition team. In this pivotal operational role, you will own the end-to-end interview scheduling lifecycle, partnering closely with recruiters, hiring managers, and executives. You will ensure a flawless, high-touch candidate experience while maintaining data accuracy within our applicant tracking system (ATS) and proactively resolving scheduling bottlenecks in a fast-paced environment.

Key Responsibilities

  • End-to-End Scheduling: Coordinate a high volume of complex interviews including technical screens, team rounds, executive debriefs, and multi-stage panels.
  • Candidate Lifecycle Communication: Serve as the primary point of contact for candidates, managing confirmations, reschedules, prep materials, and day-of logistics to deliver a thoughtful, high-touch experience.
  • Data & ATS Management: Maintain impeccable data accuracy within the ATS, updating interview plans, interviewer pools, and reference check forms.
  • Interviewer Preparation: Distribute resumes, scoring rubrics, and relevant context to internal interviewers ahead of each session to ensure alignment.
  • Operational Troubleshooting: Support day-of interview logistics, swiftly handling last-minute changes, troubleshooting blockers, and mitigating SLA risks.

Required Skills & Qualifications

  • 1–3 years of professional experience operating within recruiting coordination, executive assistance, or high-volume scheduling environments.
  • Uncompromising bar for operational excellence, extreme accuracy, and consistent follow-through on complex logistical tasks.
  • Clear, professional, and exceptionally warm written and verbal communication mechanics.
  • Demonstrated ability to prioritize competing scheduling requests, spot potential pipeline problems before they escalate, and make independent decisions quickly.
  • Location Context: 100% remote-first operational framework open exclusively to qualified professionals permanently residing within the United States.
  • Visa Constraint: This position is generally not eligible for new corporate visa sponsorship.

Preferred Strategic Indicators (Nice to Have)

  • Prior experience navigating modern applicant tracking systems, specifically Ashby, or similar ATS ecosystems.
  • Familiarity with end-to-end recruiting workflows and experience supporting executive-level scheduling calendars.
