Position Overview
We are seeking a highly analytical, detail-oriented Operations Coordinator to join our core centralized Admin & Support collective in a full-time remote capacity across the Philippines. Serving as a reliable, strategic operational partner to our executive leadership team and cross-functional business cells, you will step up to claim individual operational accountability for keeping day-to-day corporate functions running smoothly in a fast-paced startup environment. Shifting completely away from monotone manual data recording or basic clerical typing, you will operate as a principal back-office architect—mapping project deliverables, configuring information repositories, and aligning corporate resources to maximize company-wide efficiency. This position requires an administrative veteran with 3+ years of experience who manages project trackers and priorities fluidly natively using Project Management principles, organizes internal knowledge databases smoothly natively using Virtual Assistant frameworks (specifically within Notion and Google Workspace), and coordinates complex stakeholder communications confidently.
Key Responsibilities
- Full-Lifecycle Operations Coordination: Track, monitor, and accelerate active multi-stage corporate initiatives across distributed teams, following up with project members to ensure deliverables hit deadlines cleanly natively utilizing Project Management frameworks.
- Executive Administrative Support and Scheduling: Manage complex executive calendars, coordinate cross-functional alignments, organize stakeholder meetings, and administer high-priority inbound communications to shield founder productivity.
- Knowledge Database and Registry Architecture: Build, clean, and maintain comprehensive digital knowledge bases, centralized document registries, and operational trackers natively leveraging Virtual Assistant structural templates within Notion.
- Analytical Reporting Dashboard Maintenance: Design, update, and govern data-backed reporting dashboards and spreadsheet configurations to track operational efficiency, project timelines, and performance KPIs for leadership review.
- Repeatable Process Documentation: Formulate, refine, and write clear, scannable Standard Operating Procedures (SOPs), team onboarding handbooks, and operational workflows to drive process optimization.
- Cross-Functional Priority Realignment: Act as a primary communication bridge between internal stakeholders, distributed technical units, and executive leaders, ensuring daily tasks stay strictly aligned with high-level business goals.
- Vendor and Business Support Triage: Lead ad-hoc operational support tracks, including conducting specialized market research, coordinating vendor logistics, and managing hardware procurement requests.
- Rigorous Quality Control Enforcement: Audit administrative records and data inputs regularly to eliminate clerical errors, ensure regulatory documentation completeness, and preserve absolute data hygiene.
Required Skills & Qualifications
- A minimum of 3 years of verified professional history running advanced administrative management, executive assistance, operations coordination, startup back-office administration, or virtual consulting within an agile technology or corporate setting.
- Deep, authoritative command of process management fundamentals, cross-functional project tracking, schedule management patterns, and document repository structuring.
- Expert-tier capability planning business workflows, maintaining milestones, and coordinating distributed team execution natively utilizing Project Management tracking metrics.
- Practical operational familiarity designing cloud documentation databases, building layout templates, and manipulating data cells natively using Virtual Assistant toolsets (specifically requiring strong hands-on proficiency in Notion, Slack, Google Workspace, and advanced Excel or Google Sheets formulas).
- Demonstrated experience successfully supporting startup founders, corporate executives, or fast-moving distributed business teams.
- Outstanding verbal, written, and document communication attributes in business-fluent English, enabling uncompromised clarity and absolute professionalism when interacting with senior executive boards.
- Highly self-motivated and proactive profile with a proven capacity to operate autonomously with minimal supervision inside an asynchronous, deadline-driven remote framework.
- Location Context: Position open exclusively to qualified operations professionals based permanently and resident within the **Philippines** to operate under a 100% remote work-from-home layout.
