Position Overview
We are seeking a highly sophisticated, systems-minded Executive Assistant (Remote) to join our core global Executive cell in a full-time remote capacity restricted to candidates based on the East Coast of the United States. In this high-judgment, high-discretion administrative seat, you will step up to claim individual operational accountability for creating immense technical and logistical leverage for our Chief AI and Autonomous Systems Officer (a core member of our Executive Leadership Team). Moving entirely beyond basic clerical task-tracking, you will serve as a primary, high-touch liaison across senior leadership networks, handling a multi-layered support matrix that includes an advisor to the Chief Executive Officer (CEO) and the Vice President of our Tailored Solutions unit. This role demands a calm, detail-oriented administrative artist with 10+ years of corporate C-suite backup experience who anticipates organizational needs before they arise, interfaces fluidly across matrixed departments, and coordinates complex operational cadences seamlessly.
Key Responsibilities
- ELT Calendar and Schedule Architecture: Own, configure, and maintain a highly complex, rapidly evolving executive calendar, strategically mapping out high-stakes internal leadership reviews, corporate operating cadences, and key customer and partner engagements.
- Global Travel and Logistics Governance: Plan, book, and reconcile intricate domestic and international travel itineraries natively utilizing Executive Assistant standards, managing multivariable timezone connections and expense sheets with uncompromised attention to precision.
- Meeting Readiness and Briefing Curation: Serve as a trusted technical partner by anticipating operational prerequisites, drafting structured meeting agendas, and compiling comprehensive executive briefing sheets and baseline background notes.
- Action Item Follow-Through Tracking: Drive strict execution accountability across cross-functional departments, monitoring internal leadership commitments, surfacing deadline parameters, and tracking multi-tiered system handoffs.
- Office of the CEO Liaison Alignment: Collaborate closely alongside the Office of the CEO, distributed assistant cells, and cross-functional administrative partners to guarantee total synchronization across competing corporate priorities.
- Generative AI Tooling Optimization: Process and execute complex digital administrative tasks under tight timelines, utilizing advanced **genAI and agentic tooling** natively to accelerate data assembly and document drafting.
- Administrative Process Refactoring: Continuously audit and improve internal communication channels, documentation registries, and administrative support practices to eliminate operational friction and enhance executive bandwidth.
- Team Onboarding Integration Support: Manage and lead basic team onboarding workflows, acting as the front-line cultural point of contact to welcome and integrate new specialists joining the fast-growing AI Systems squad.
Required Skills & Qualifications
- 10+ years of verified professional history running advanced executive administration, corporate assistant operations, high-level logistical coordination, or matrixed business systems support at a C-suite or senior ELT level.
- Deep, authoritative technical command of distributed workflow management, with a production-tested track record structuring multi-timezone calendars and corporate event maps with minimal oversight.
- Demonstrated experience gathering, managing, and safeguarding highly sensitive, confidential corporate information with absolute personal discretion and mature judgment.
- Expert-tier proficiency navigating collaborative workplace software, building data panels, and mapping resource grids natively leveraging Spreadsheets (Excel/Google Sheets) and the full Google Suite ecosystem.
- Outstanding verbal, written, and interpersonal presentation mechanics, indicating an absolute capacity to communicate clearly and maintain a polished presence across senior corporate stakeholders.
- Location Context and Timezone Grid: Parameters open exclusively to qualified executive assistants base-stationed permanently within the **East Coast of the United States** to execute 100% remotely from home under strict operational alignment with the Eastern Time (EST/EDT) zone.
