Position Overview
We are seeking a highly organized, detail-obsessed, and resourceful Event Marketing Intern to join our team for the summer. In this hands-on, part-time execution role, you will directly support our most critical customer moments of the year, including our high-touch Customer Advisory Board (CAB) Retreat and multiple sponsored industry events. Reporting directly to the Director of Events & Partner Marketing, this entry-level position is designed to provide real on-the-job mentorship, cross-functional B2B SaaS exposure, and deep logistical training without requiring prior formal events experience.
Key Responsibilities
- CAB Retreat Logistics: Research, book, and organize comprehensive travel itineraries (flights, hotels, ground transport) for attendees and internal staff.
- Master Tracking & Coordination: Build and maintain master travel trackers, manage rooming lists, and support day-of logistics and run-of-show execution.
- Sponsored Event Support: Coordinate physical booth logistics, staffing schedules, and shipping operations for multiple overlapping summer industry events.
- Swag & Creative Synchronization: Serve as the connective tissue with our internal studios team, submitting creative tickets, tracking production timelines, and managing vendor relationships for event swag.
- Administrative Event Operations: Maintain shared event calendars, budget sheets, and post-event wrap-up reports, proactively flagging timeline risks.
Required Skills & Qualifications
- Extreme organizational capabilities with an innate love for spreadsheets, master trackers, and building proactive checklists before being asked.
- Outstanding, proactive communication skills to ensure internal teams, external vendors, and VIP customers remain informed across changing variables.
- High comfort level navigating ambiguity; the ability to adapt to shifting event plans and troubleshoot logistical roadblocks resourcefully.
- Strong team-player mindset with an eagerness to lean in and learn fast within a highly collaborative remote environment.
- Location Context: 100% remote flexibility within the United States, with a distinct hiring preference for candidates residing in Montana.
- Availability: Must be able to commit to 20-25 hours per week from May 2026 through August 31st, 2026.
Preferred Strategic Indicators (Nice to Have)
- Familiarity with modern remote project management tools and workspace ecosystems such as Notion, Asana, and Google Workspace.
- Any baseline exposure to ordering promotional swag, managing vendors, or booking complex corporate travel routing.
