Position Overview
We are seeking a highly analytical, detail-oriented Clinical Operations Coordinator to join our core global operations group in a full-time remote capacity restricted to candidates based on the West Coast of the United States. In this highly flexible, cross-trained administrative seat, you will step up to claim individual operational accountability for supporting the delivery of contracted services within active clinical trials. Shifting completely away from passive indexing or rigid, siloed data entry, you will be cross-trained to flexibly support multiple internal study teams as their functional needs fluctuate across the trial lifecycle. This high-ownership position requires a disciplined self-starter with a Bachelor’s degree or 1+ years of administrative support background who coordinates high-volume email correspondence fluidly, manages data queries smoothly, and maintains pristine status registries under tight clinical milestone constraints.
Key Responsibilities
- High-Volume Trial Status Data Entry: Input, monitor, and update live study metrics, rater qualifications, and administrative metadata records natively utilizing Data Entry best practices across central ePortal and learning directories.
- Spreadsheet Tracker Administration: Maintain, structure, and manipulate comprehensive operational registries, data query summaries, and site communication records natively leveraging Spreadsheets (Excel/Google Sheets).
- LMS Module and Form Processing: Review submitted clinician and rater training forms, evaluate survey inputs, and deploy appropriate training modules inside centralized Learning Management Systems (LMS).
- Video Conference Scheduling Coordination: Schedule and organize 1:1 training video conferences between active clinical site raters and Cogstate’s distributed Rater Services expert staff.
- Hardware Shipping and Scale Logistics: Oversee, document, and schedule site hardware shipments, binder creation, translation logistics, and physical test materials shipping itineraries.
- Clinical Site Point of Contact: Serve as a highly responsive front-line point of contact for clinician and rater support inquiries, tracking communications from site coordinators across clinical settings.
- Data Query Management and Triage: Access database lines to open, follow up on, and resolve data discrepancies, ensuring absolute data hygiene across downstream analytics containers.
- Monitoring Activity Collaboration: Interact fluidly with Clinical Research Associates (CRAs) during active site monitoring initiatives, providing clear progress reports and enabling seamless schedule synchronization.
Required Skills & Qualifications
- Bachelor degree from an accredited institution OR 1+ years of verified professional history running administrative support, project coordination, data logging, or customer success tracking.
- Deep, authoritative structural familiarity navigating spreadsheet applications, building lists, and tracking status parameters natively leveraging Spreadsheets (Excel/Google Sheets) or the Microsoft Office Suite.
- Proven capability to manage high-volume email correspondence and coordinate complex schedules across multi-functional teams with strong attention to detail.
- Outstanding problem-solving logic, with a demonstrated capacity to absorb cross-training across multiple administrative operational disciplines and pivot to meet changing bandwidth strain.
- Outstanding verbal and written communication mechanics in fluent English, with an absolute readiness to act as a professional point of contact for external clinicians and clinical setting operators.
- Location Context and Workspace Rule: Position open exclusively to qualified candidates base-stationed permanently within the **West Coast of the United States** to execute production duties under a 100% virtual-first remote arrangement.
